Job description:<br><br> Job Specification Job Purpose Plan, coordinate, monitor inventory and administer materials and equipment spares associated with all offshore assets to ensure the availability to meet operation and maintenance requirements. Job Context & Major Challenge(s) Interface with multiple offshore assets handling queries with conflicting priorities and working under time pressure. Key Job Accountabilities Maintain spares and material records and issue reports as required internally and externally to discipline supervisor/co-coordinator for review and discuss priorities with all parties to formulate a plan, review and report on work progress ensuring operational alignment. Provide plans and create reservation for stock item, Direct Materials Requisitions/MDG request ahead of time to ensure the timely delivery of all materials related to shut down and minor projects activities offshore. Compile detailed plans for offshore shutdowns including Minutes of Meetings, MS project, photos and any resources available to build the plan. Prepare lessoned learned /achievement reports after Shutdowns for further improvements and recommendations. Participate in meetings with the Supply team to control and update all offshore materials movements and represent the Maintenance Department in meetings with management representatives of other ventures or contractor companies to discuss materials issues. Apply knowledge of product and manufacturing process to provide details on the number of materials required to complete job orders, assuring materials are ordered with the appropriate specification and quality standards and documented to comply with company practices and received to meet offshore requirements. Expedite internal transfer of materials to meet production schedule and coordinates with Engineering Department for Quality Assurance/Quality Control of materials. Review all documents provided by vendor to ensure they meet Company minimum requirements and undertake required follow up to close-out with vendors. Co-ordinate for resolution of Material Discrepancy Report (MDR) item to manage the maintenance schedule. Coordinate new valve testing or overall/turnaround of valves and organize mobilization of materials, tools and equipments to meet the shutdown/projects timeline. Review the material requirement for work order in backlog category and arrange the availability of the material for timely completion of activities as stipulated in assigned work order. Person Specification - Minimum Requirement Qualifications Higher National Diploma (HND) in Operations discipline. Knowledge and/or Experience 5 years’ equivalent experience in maintenance or operations preferably in the oil and gas industry, including experience in maintenance planning. Conducting planned and random site inspections of electrical installations and systems to verify compliance with approved drawings, specifications, project requirements, local regulations, and relevant international standards. Inspecting electrical works, including power distribution systems, lighting systems, earthing and lightning protection systems, low-voltage installations, control panels, cabling works, and associated infrastructure. Monitoring contractor activities to ensure adherence to approved Inspection and Test Plans (ITPs), Method Statements, and Quality Management System (QMS) requirements. Witnessing electrical testing and commissioning activities, including cable testing, continuity testing, insulation resistance testing, functional testing, and system performance verification. Identifying non-conformances, quality issues, and deviations from project specifications, and recommending corrective and preventive actions. Investigating recurring quality issues, conducting root cause analysis, and preparing detailed inspection reports with supporting documentation and photographs. Recording inspection findings and maintaining accurate quality records in relevant systems, ensuring timely updates and effective document control. Providing field-based technical support and guidance to contractors and project teams on quality-related matters. Liaising with internal stakeholders, consultants, contractors, and client representatives to resolve quality concerns and promote best practices. Ensuring compliance with applicable health, safety, environmental, and quality requirements during all inspection activities. Participating in on-call escalation rotas and supporting colleagues as required to meet business needs.<br>To be successful in this dynamic opportunity, we envision that your career journey to date will include:A minimum of 8 years of relevant experience in electrical quality inspection, construction supervision, or quality assurance within infrastructure, utilities, or building projects. A Diploma or Degree in Electrical Engineering or a related discipline. Demonstrated experience implementing and maintaining Quality Management Systems in accordance with ISO 9001 standards. Strong knowledge of electrical codes, standards, and regulations, including local authority requirements and international standards such as IEC, BS, or equivalent. Experience reviewing electrical drawings, specifications, test reports, and quality documentation. Excellent report writing, communication, and stakeholder management skills. Experience working with government clients or large-scale infrastructure projects will be advantageous. Our aim is to enhance students’ skills and help develop talented graduates who can effectively contribute to a knowledge-based economy and make Qatar’s National Vision 2030 a reality.<br><br>Responsibilities<br><br> Duties & Responsibilities: <br><br> Operational <br><br>Assist faculty staff with proposal development, review and submission process for pre-award agreements to ensure alignment with UDST’s policies and procedures.<br><br>Collaborate with the Applied Research and Innovation (ARI), Academic Manager in grant submissions, budget preparation and track payments of all research grants.<br><br>Act as liaison between faculty staff, funding institutions and government bodies and review and update sponsor agreements as recommended by the Applied Research and Innovation (ARI), Academic Manager.<br><br>Coordinate proposal requirements with faculty staff and external participants and review proposals and research initiatives to ensure compliance with regulatory laws, policies and procedures.<br><br>Provide written feedback to university faculty regarding necessary changes and suggestions for proposal enhancement.<br><br>Maintain positive relationships with pre and post award Stakeholders, and government representatives to promote University applied research initiatives.<br><br>Assist faculty with the completion of administrative forms and others’ electronic systems to secure funds for research and other project initiatives.<br><br>Prepare reconciliation of actuals to budget variance and analysis for annual audit to contribute to grant audit review activities and to ensure timely closeout of audit recommendations.<br><br>Document and communicate pre/post awards outcomes to faculty through reports and presentations to promote and contribute to UDST’s award scheme initiatives.<br><br>Maintain up-to-date database, records, and reports relevant to award grants to monitor University proposal activities and to ensure compliance with University guidelines and regulations.<br><br>Attend business unit and faculty meetings to obtain information on awards, finance and research related matters and draft minutes as appropriate.<br><br>Monitor awards proposal status and advise Principal Investigator on requirements and deadlines associated with research protocols highlighting discrepancies to the Applied Research and Innovation, Academic Manager.<br><br>Research best practices and identify trends in relation to award proposal process to assist in the development of tools and training workshops for faculty members.<br><br>Create and review budgets for institutional commitments and adherence to institutional policies and draft budget justification text for proposal inclusion.<br><br>Maintain up to date knowledge on award-funding bodies’ policies and guidelines and serve as an information resource, disseminating key information to faculty, students, and staff.<br><br>Participate in University-wide awards workshops and training sessions as required.<br><br>Perform miscellaneous job-related duties as assigned.<br><br>Qualifications<br><br> Education and Certifications: <br><br>Bachelor’s degree in relevant field is required<br><br>Master’s degree is preferred<br><br> Experience: <br><br>Minimum 5 years’ experience in grants/ research administration, budget development/management, or grant writing.<br><br>Relevant Education Certifications Are Required Are Preferred.<br><br> Language: <br><br>Fluency in written and spoken English and Arabic language required.<br><br>Skills<br><br> Strong project management, organizational, and analytical skills.
