We are extremely proud to contribute to the rapid development of Qatar’s economy in alignment with Qatar National Vision 2030.<br><br>To support the continued development and operations of the company, we are looking to fill the position of Senior Back Office Sales Coordinator within the Sales Department.<br><br>GETTING TO KNOW YOUR ROLE<br><br>The Senior Back Office Sales Coordinator provides comprehensive operational and administrative support to the Sales function.<br><br>The role manages the sales process from the receipt of customer inquiries through quotation and tender preparation, order processing, delivery coordination, payment follow-up, document control, and after-sales support.<br><br>The position works closely with Front Office Sales, customers, and internal departments to ensure that commercial activities are completed accurately, efficiently, and on time.<br><br>MAKING AN IMPACT<br><br>Review customer technical specifications and prepare Sales Inquiry Sheets for submission to the Technical Department. Coordinate with Finance on price-list updates and prepare commercial offers with all required supporting documents. Ensure that bids, estimates, quotations, and tenders are complete, accurate, properly documented, and submitted on time. Work closely with the Technical and Sales teams to maintain updated price lists. Prepare customer qualification files, vendor-registration documents, brochures, and other commercial documentation. Coordinate document-control activities for customer inquiries, tenders, contracts, sales orders, and project correspondence. Ensure proper document filing, version control, traceability, confidentiality, and timely retrieval. Collect and analyze the reasons for quotations and tenders being won or lost. Prepare relevant commercial reports and provide feedback to the Sales team. Use sales tools and systems effectively to record, monitor, and track opportunities, quotations, orders, and customer commitments. Prepare sales orders, invoices, credit-limit requests, and other related documentation. Coordinate delivery arrangements and follow up on customer payment collection. Maintain accurate and updated project and order-status records. Communicate progress, risks, assumptions, and decisions to the Sales team and customers. Establish and maintain effective relationships with customers, including customers within the Oil & Gas sector. Ensure compliance with customer-specific documentation, tendering, vendor-registration, and commercial requirements. Provide a positive customer experience throughout the quotation, order, delivery, and after-sales process. Perform any other related duties as may be assigned. <br><br><br>What You Bring To The Job<br><br>University or college degree in Engineering, Business, Marketing, Accounting, or a related discipline. Document Control certification is required. Minimum of 3–5 years of experience in Sales Back Office, Sales Coordination, Tendering, or Commercial Support. Relevant experience working in a manufacturing or industrial environment is preferred. Experience supporting and coordinating the requirements of Oil & Gas sector customers. Knowledge of tender preparation, vendor registration, sales-order processing, and document-control requirements. Fluent written and spoken English. Excellent communication, business-writing, presentation, and interpersonal skills. Proficiency in Microsoft Office applications, particularly Word, Excel, Power Point, and Outlook. Familiarity with ERP, CRM, or document-management systems is an advantage. Strong analytical, reporting, coordination, and follow-up skills. High level of accuracy, attention to detail, organization, and document-control discipline. Ability to manage multiple priorities, meet deadlines, and work effectively under pressure. High degree of confidentiality, professionalism, sound judgment, and discretion. Proactive, customer-focused, collaborative, and solutions-oriented approach. Job Summary<br><br>The role holder is responsible for managing the projects department and for the overall direction, development, coordination, implementation, execution, control, completion, handover, and close-out of projects ensuring consistency with Company strategy, commitments, and goals. Ensuring this opportunity are executed as greenfield and brownfield projects within existing QAFCO facilities, Shutdown and non-shutdown. The role holder leads multi-disciplined teams of head of sections, engineers that will manage a balanced project department projects portfolio on short and long term according to the company’s requirements and plans. Oversees the contracting, engineering, procurement, construction, commissioning and handover until close-out of the project’s safety within agreed cost and schedule while meeting quality, project objectives and business controls following QAFCO project management systems.<br><br>The role is heavily oriented towards providing direction to technical problem solving, decision-making, analysis of project department portfolio through the application of analytical and innovative techniques. The role holder reports to the Chief Technical Officer.<br><br>Key Accountabilities<br><br>Act as the owner/custodian of the QAFCO’s project management methodology and coordinate, tracks for continuous improvements, integrity of system, compliance, training, sustainability. Plan, direct, lead and organise the activities of the projects department to ensure that budgets and R&A plans are met through the optimisation and efficient utilisation of available manpower and working hours and that staff are motivated to realise potential and make significant contributions. Direct and manage the activities of Head of Sections, Project Engineers, Project Support in the planning, scheduling, design quality and execution of projects. Support the Sr. Management with the execution of all aspects of the project including managing the staff, providing vision and strategic leadership, providing, and contributing to the 5-years capital plan, monitoring and control of project schedules and budgets, evaluating project productivity and quality and directing the complete technical operations of the project. Providing recurrent projects executive summary reporting. Monitor project’s balance score cards to meet objectives and expectations. Participate on the performance management meetings. Review, develop and recommend the appropriate organization structure for the department that will be utilise human capital on the current and forecasted workload to meet the business objectives. Ensure that the relevant disciplines / trades follow valid standards, technical requirements, and good engineering practices to ensure that projects are executed in line with agreed specifications. Approve and maintain modern and good standards on engineering practices in the department. Ensure that the MOC process is followed into the projects, prior to changes taking place. This as part of the governance. Ensure RCA on projects is implemented for positive and gaps and to capture as lessons learnt projects life cycle, and their implementation in future projects. Develop QAFCO’s project management methodology, tools, templates, forms, procedures & guidelines to ensure consistent evaluation and implementation of projects. Actively contribute to balance the project portfolio on short- and long-term regarding contribution to profitability, safety, health, environment, and product quality, according to QAFCO’s goals and objectives. Liaise closely with other departments/sections within QAFCO concerning project planning and execution. Monitor and approve project planning and strategy baselines and updates/changes prior to approach respective committees related. Ensure proper interfacing during entire project life cycle with application of the QAFCO’s project management methodology. Guide and provide direction for potential problem areas, technical information, staffing priorities and identify solutions where necessary. Lead by example, as a role model with innovation and differentiation, sharing and developing knowledge, competencies, serving as coach and mentors to all projects department members, and functions supporting on project. Responsible to maintain proper staffing levels to meet project requirements.
