Job Summary<br><br>The Office Manager – CEO Office provides executive, administrative, and business coordination support to the CEO, ensuring effective management of priorities, smooth day-to-day operations, and support for strategic and governance activities. Cross-check hand-over forms with updated data in the RCS (legal system) and approve cases for further action.<br><br>Cheque Classification and Management <br><br> Categorize cheques by type (post-dated, returned) and ensure alignment with related cheque advice. Prepare and maintain Excel sheets capturing key cheque information (amount, signatory, due date, and cheque number). Store original cheques in secure legal custody under designated folders.<br><br>Cheque Processing <br><br> Monitor and ensure timely posting of cheques within a two-day window, if applicable. Validate that returned cheque advice does not exceed 30-day validity based on customer default.<br><br>Case File Preparation <br><br> Compile physical case files and ensure full updates in RCS, including scanned copies of all supporting documentation. Upload relevant attachments in the RCS for internal recordkeeping.<br><br>Police Complaint Submission <br><br> Draft and submit formal complaints to the Police Department, ensuring all required documentation is attached (including CB’s request for binding the defendant). Notify LO/LM on the same day regarding recovery amount received from the court Monitor and reconcile transfers from civil courts into the legal suspense account. Notify the business of recoveries and ensure crediting to customer accounts.<br><br>Legal System and Case Tracker Maintenance <br><br> Ensure daily updates to the legal system (RCS) and monitor criminal case developments using the marker checker process.<br><br>Financial Reconciliation and Reporting <br><br> Maintain monthly reconciliation records for recovery amounts through civil and criminal proceedings. Share reconciliation reports with the legal Manager and Chief legal Officer Prepare and submit a Monthly Criminal Case Report detailing case outcomes to the legal Manager and Chief legal Officer Prepare monthly reports for case cancellations (criminal and civil) and maintain organized records. Reporting into the Dukhan Programme Manager, this role is responsible for:<br><br>The Procurement Engineer is responsible for all Dukhan procurement activities and deliverables. Working primarily from the Dukhan site, the Procurement Engineer must ensure the Dukhan requirements are met and, through the Dukhan Programme Manager, the role will ensure the relevant stakeholders are informed and up to date on all procurement activities. Oversees alcohol supply and inventory operations, ensures alcohol inventory/variance reports and Aloha sales tracking are accurate, ensures after event reports are accomplished, enforces safety, quality and performance standards. Responsible for the maintenance and condition of the equipment in the facility; ensures submittal and tracking of work orders to completion is accomplished and reported accurately. Responsible for monitoring other country nationals in accordance with AFCENTI 32-1002 and obtain escort badge. Shall establish and ensure appropriate inventory levels are maintained and ensures necessary documentation for purchase requests are completed accurately and timely. Develop and submit a 90-day lounge-focused look ahead calendar for lounge activities in coordination with marketing team. Shall answer customer feedback in various forms and address comments in a timely, professional manner. Shall provide set up and breakdown of Government furnished equipment such as tables, chairs, music system, ice chests, stages, etc. Responsible for maintaining a safe, clean, sanitary, healthy, presentable, professional atmosphere, free of dust, clutter and trash in all working facilities and areas. Responsible for maintaining a comprehensive, flexible, and properly documented training program. Responsible for proper utilization and safeguarding of all government and contractor provided property (e.g., to include government facilities, equipment and tools). <span><br>POSITION SUMMARY<br>Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests. Enter and retrieve information contained in computer databases using a keyboard, mouse, or trackball to update records, files, reservations, and answer inquiries from guests. Operate standard office equipment other than computers. Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software. Transmit information or documents using a computer, mail, or facsimile machine, including proofreading and editing written information to ensure accuracy and completeness. Enter and locate work-related information using computers and/or point of sale systems.<br>Follow all company policies and procedures, ensure uniform and personal appearance are clean and professional, maintain confidentiality of proprietary information, and protect company assets. <p>The Fuels Superintendent/POL Distribution Manager manages all aspects of the site's Fuels program. Supervises personnel involved in the periodic maintenance, reconstitution, preservation, storage and deployment of all USAF Fuels Handling Equipment (FHE) and vehicle assets IAW applicable USAF mandatory requirements. Ensures compliance with the Performance Work Statement (PWS) and applicable USAF requirements. Works with the Fuels Functional Manager with developing plans and implements procedures to enhance operational efficiency and customer satisfaction. Ensures compliance with Performance Work Statement (PWS) and Amentum ISO 9001 Quality Management System (QMS).</p><p>Principal Accountabilities:</p><ul><li>Provides leadership and supervision to all Fuels employees.</li><li>Assigns Fuels work priorities.</li><li>Coordinates Fuels support requirements with management and other functional areas.</li><li>Reviews and implements Fuels reconstitution goals and ensures scheduled inspections are performed as required.</li><li>Compiles information and submits reports on Fuels asset status, inspections, inventory, reconstitution and storage.</li><li>Identifies asset deficiencies and submits Product Quality Deficiency Reports (PQDRs) as required.</li><li>Participates in Quality Corrective Action Working Groups (CAWG) to develop a Corrective/Preventive Action for both negative internal and external audits and update QMS accordingly.</li><li>Submits Periodic Maintenance Inspection, Reconstitution and man-hour data as required.</li><li>Accountable for the accuracy of timesheets and ensures overtime is warranted prior to approval.</li><li>Ensures the review and verification of all technical inspections and functional checks are in compliance with all applicable technical data and work instructions, prior to shipping Fuels assets.</li><li>Ensures employee performance evaluations are conducted as required within the suspense timeframes.</li><li>Ensures Fuels training is adequate for task requirements and update training records as required.</li><li>Reviews all parts and material requirements for accuracy and track to ensure they are received in a timely manner.</li><li>Account for all bulk fuel utilized for site generator/vehicle operations.</li><li>Review, validate and approve all monthly USG submitted fuels receipts.</li><li>Performs other duties, tasks and TDY travel as directed by management.</li><li>Performs other duties as assigned.</li><li>Works in normal office and maintenance shop or warehouse environment and may be required to work outdoors for extended periods.</li></ul><p>Work Environment, Physical Demands, and Mental Demands:</p><p>Primary functions require the physical ability and mobility to repeatedly work overhead, kneel, crawl, push, pull and climb equipment as required by task. Ability to frequently lift 50 to 75 pounds. Exposed to various weather conditions (hot, rain, snow) and ability to stand for long periods of time. Regularly exposed to hazards such as noise, fumes, moving equipment, liquids and lubricants. Requires constant use of speech/hearing abilities for communication, constant mental alertness, and must be able to work under deadlines. Constant attention to detail in high traffic areas or working in tight, close spaces. Must be able to read/write/speak English.</p><p>Other Responsibilities:</p><p>Safety - Amentum enforces a safety culture whereby all employees have the responsibility for continuously developing and maintaining a safe work environment. As appropriate, each employee is responsible for completing all training requirements and fulfilling all self-aid/buddy aid responsibilities, participating in emergency response tasks, and serving on safety committees and teams.</p><p><br></p><p><strong>Desired Candidate Profile</strong></p><ul><li>Five years (5) USAF or US Service equivalent supervisory experience is required.</li><li>Must be familiar with USAF 2F0X1 2F071 or US Service equivalent Fuels operations.</li><li>Must possess a valid U.S. driver's license and ability to obtain host nation driver's license.</li><li>Must have a valid U.S. passport valid for at least 18 months.</li><li>Will be required to wear proper Personal Protective Equipment (PPE) according to prescribed procedures and as required for task being performed.</li><li>May be exposed to extreme noise from operating equipment.</li><li>Physically capable of performing all required duties; capable of lifting/pushing/pulling minimum of 50 lbs.</li><li>Ability to travel domestically and internationally.</li><li>Must be proficient in the use of personal computers and Windows Operating System and Microsoft Office to include as a minimum Power Point, Excel and Word programs.</li><li>Must be able to obtain and maintain a Secret US Government Clearance.</li><li>Note: US Citizenship is required to obtain Secret Clearance.</li><li>Experience supervising a diverse international workforce is desired.</li><li>Ten years USAF or US service equivalent supervisory experience is preferred 2F071 2W151</li><li>NCOIC Fuels Distribution</li><li>Fuels Operations</li><li>Fuels Fixed Facilities</li><li>Refueling Maintenance experience desired.</li><li>Completed FORCE Course (J3AZR2F051 05AB) or 5 years experience.</li><li>Fuels Apprentice Course (J3ABR2F031 00AB) or US Service equivalent desired.</li><li>Fuels Operational Readiness Capability Equipment (FORCE)</li><li>FORCE Course (J3AZR2F051 05AB) Certificate or experience desired. If certificate not already obtained, will attend FORCE Course within 12 months of employment.</li><li>Certification: National Petroleum Management Association Certified Petroleum Specialist (CPs) or equivalent certification is acceptable in place of fuels apprentice training and requirements.</li></ul>
