About the Role The Facilities Coordinator serves as the central point of contact for the office, ensuring smooth day-to-day operations, excellent reception service, and efficient facilities coordination. This role blends administrative excellence with workplace support, vendor coordination, office administration, finance, health and safety activities, and ad-hoc requests to ensure a fun, safe environment. Acting as an ambassador of a one-team approach, the incumbent collaborates with colleagues to inspire customer moments of delight and pursue amazing outcomes each day within a fast-paced tech environment. Key Responsibilities Front Desk & Guest Management: Provide a high-class service and customer/visitor experience, ensuring every interaction is professional and pleasant. Responsible for FM standards and delivery of the IFM services contract through KPIs and SLAs. Coordinate client performance reviews against agreed outputs on a monthly basis. Accountable for the financial performance of site service delivery. Ensure that essential site soft and hard services PPM and remedial works are completed. Ensure that critical systems (UPS, FM200, Fire Alarm, Emergency Lighting, M&E, HVAC) and non-critical systems and equipment are properly maintained. Manage suppliers and service providers supporting site operations. Assist in raising and managing purchase orders, work orders, e-logbooks, harbour calls, and related processes.</p><p><strong>Desired Candidate Profile</strong></p><p>A minimum of 5-7 years experience in Customer Service, Hospitality, Facilities Management, or a supervisory role within a related service environment. Strong written and verbal communication skills. Experience in contract management and performance measurement. PC literate, including proficiency in Microsoft systems, with experience in PPM and FM software systems such as CAFM. Excellent commercial understanding, including P&L and budget responsibility.</p>

Conduct awareness sessions and provide specialist guidance to relevant departments on warranty processes, contractual notification requirements and claim governance. Review claim technical and contractual substantiation, notify contractors of defects or deficiencies, and protect Company remedy and recovery rights. Lead review of contractor Root Cause Failure Analysis, corrective action plans and execution proposals, ensuring compliance with Company requirements and timely resolution. Coordinate disputed claim resolution, back charges and recovery of Company expenditure with Contracts, Legal, Finance, PMT and technical stakeholders. Monitor claim performance, risks, ageing and recovery, and provide structured reporting and recommendations to the Head of Warranty & Insurance Claims.</p><p><strong>Desired Candidate Profile</strong></p><p>Bachelor's degree in Engineering or equivalent. Minimum seven years' experience in engineering, business development, project management, commercial negotiations and/or warranties, including at least three years in the oil and gas industry. Demonstrated ability to work effectively in a technically complex and multi-venture environment. Working knowledge of EPC/EPCm contracts, warranty obligations, insurance claim coordination and project handover processes Good analytical and constructive thinking skills.
