<p>At Four Seasons Resort and Residences at The Pearl-Qatar, maintain a system of purchase orders, receipts, invoices and cheque requests in order to promptly and adequately support, document and process for payment all hotel payables. Ensure that all vendors are paid according to the agreed terms and to Four Seasons policies and procedures.</p>
<h4>About the role</h4>
<ul>
<li>Maintain alphabetical files by vendor containing complete invoices and backup attached to the cheques for efficient access after payment. All filing is to be kept current.</li>
<li>Ensure all payments are made correctly and with the correct authorization (approved PO), evidence of receipt, invoice or delivery slip and Accounts Payable stamp.</li>
<li>Process all Accounts Payable invoices and manual cheques through the computer system.</li>
<li>Complete wire authorization forms for wire transfer and ensure it is signed by two authorized signatories (from Groups A & B) and ensure all applicable backup supports the transfer.</li>
<li>Ensure all standing orders for electronic disbursements are approved in accordance with the normal payment procedures and signed by the cheque signatories.</li>
<li>A list of all standing orders for electronic disbursements should be maintained with details of date of payment, payee, amount and description of payment and at the beginning of each month in advance of the standing payment, this list should be routed to the cheque signatories for approval and a copy attached to bank reconciliations.</li>
<li>Verify and process expense reports and petty cash reimbursements ensuring compliance with key controls.</li>
<li>Forward all stop payment and void cheques to the staff accountant / assistant director of finance for journalizing. Reconcile vendor statements as they are received, with reconciling items, including any correspondence from the vendor clearly indicated and resolve all discrepancies directly with the vendor.</li>
<li>Prepare manual cheques as they are required if directed by director of finance or assistant director of finance.</li>
<li>Run the required reports at month end to close the accounts payable cycle.</li>
<li>Ensure all goods received and services provided, but not yet invoiced, are properly accrued and expensed and that the outstanding liabilities for other accruals are accurate and agree to all supporting documentation.</li>
<li>Prepare journal entry for accrual of invoices received after closing and for goods and services received, but not yet invoiced.</li>
<li>Maintain a separate file for purchases of all operating equipment items (china, glass, silver and linen) and capital items under the direction of the assistant director of finance.</li>
<li>Assist in the preparation of all accounts payable documentation for microfilming on an annual basis if needed.</li>
<li>Maintain, and constantly update, an approved vendor listing file.</li>
<li>Answer telephones and record messages accurately.</li>
<li>File documents and reports.</li>
<li>Perform any additional duties as assigned by the director of finance or assistant director of finance.</li>
<li>Verify that all invoices are supported by duly approved purchase orders when required, signed receiving documentation and/or the approval of authorized management personnel.</li>
<li>Verify prices, quantities and extensions against purchase order as required, and initial the invoice when verified. Bring any discrepancies to the attention of the assistant director of finance.</li>
<li>Understand tax laws as it relates to sales tax, use tax, goods and services tax and year end processing ensuring compliance, submission and payment deadlines are met and ensure that all deductions and exemptions are properly documented.</li>
<li>Ensure the correct sales / use tax is either paid to vendor or self-assessed with payment processed on time to local, state, or other tax jurisdiction.</li>

<p>Maintain the Hotel Code of Conduct at all times.</p><p>Maintain complete knowledge of and comply with all departmental policies, service procedures and standards.</p><p>Promptly and professionally generate event leads from local & overseas corporates as well as respond to incoming event enquiries via phone, email and walk-ins to the hotel, including enquiries as assigned by the Assistant Director of Groups, Catering & Events.</p><p>Develop corporate accounts and travel within the local area to drive business to the hotel and increase market share in all revenue streams.</p><p>Accurately identify and define the event, dates, times, function space requirement, expected attendance, flow, budget, client expectations and level of influence and decision-making power of the customer/organization and use these to secure business, focusing on upselling to have incremental revenue.</p><p>Maximise event revenue opportunities in all F&B outlets (e.g. increasing average check, upselling additional food and beverage, meeting room rentals).</p><p>Conduct hotel site inspection for clients (on weekends if necessary).</p><p>Maintain constant accurate records in Delphi, including booking activities, contacts, and revenue.</p><p>Plan all event and hotel experience details with the client.</p><p>Prepare and detail Banquet Event Orders for all events, group resumes and floor plans as necessary and communicate and work with all departments of the hotel involved in the execution of functions in a timely manner.</p><p>Communicate changes accurately and promptly to the hotel operational teams to ensure no disruption in service within their respective departments or experience to the client.</p><p>Manage invoicing and collection of all deposits based on Event contract and final account.</p><p>Develop client relationships to actively negotiate and generate repeated events business.</p><p>Attend BEO and Group resume meetings where necessary.</p><p>Conduct pre and post communication meetings.</p><p>Create deposit schedule in Delphi according to contract & maintain payment history to ensure accuracy.</p><p>Create PMs for all definite bookings and process all subsequent deposits following initial and send receipts to client.</p><p>Act in liaison with Finance on Event Billing issues.</p><p>Daily review of Micros checks post-event to ensure accuracy of proper charges.</p><p>Add consumption per Micros checks to Delphi to balance systems.</p><p>Create a final bill for client including all events, bedrooms, transportation, outlets, miscellaneous charges.</p><p>Process final payments information and assist in collection of payments.</p><p>Create, process, and maintain PO requests.</p><p>Calculate commission based on F&B and bedrooms and manage commission tracker.</p><p>Place special orders for events i.e. rental orders, kosher meals, and process payments accordingly.</p><p>Support the Assistant Director of Groups, Catering & Events with weekly pace report and monthly forecasting.</p><p>Consistently offer professional, sincere, friendly, and engaging service.</p><p>Follow all departmental set standards.</p><p>Maintain high standards of personal appearance and grooming, which include adhering to Rosewood hotels and resorts grooming policy.</p><p>Understand and be knowledgeable of relevant policies (e.g. menu and pricing, food handling, cancellation, guarantee, payment).</p><p>Offer and implement innovative ideas, methods, and procedures to further streamline the department.</p><p>Other reasonable duties as assigned by the Assistant Director of Groups, Catering & Events.</p><p>Flexibility to work outside of regular office hours and weekends if required.</p><p><strong>Desired Candidate Profile</strong></p><p><br></p>

Key Responsibilities:Ensures the smooth and efficient operation and control of the pastry galley and production daily according to company policies. Directs, coaches, supports, supervises, and evaluates (with the Assistant Pastry Chef) the performance of all direct reports. Responsible for the production, quality and presentation of the pastry and dessert assortment to be used in the daily menus. Prepares production forecasts and records leftovers to avoid unnecessary wastage and keep food costs within the budget. Supervise the set-up of the Pastry and dessert display in the various buffets. Must have a complete knowledge of the United States Public Health rules and regulations and ensure that they are followed daily. Ensures that the Pastry Shop’s cleaning schedule established by the Executive Sous Chef Pastry & Bakery is followed by all team members on duty after each service and exercises proper methods to minimize equipment damages. Ensures that the pantry shops are ready for any announced or unannounced USPH inspections done either by the ship’s management or USPH inspectors. Responsible for the requisition and transportation of the necessary items from the main stores to the pastry galley. Ensures recipes/master list and yields are in accordance with the company’s standards. Assists the Assistant Pastry Chef with completing the daily pastry consumption re-cap as requested by the Executive Chef. Ensures that Pastry team members come to work on time, and are in proper, well-maintained uniforms, with special attention to those working in public areas. Personal appearance and hygiene must be according to company policy. Has a thorough understanding of Time and Attendance procedures and is familiar with the contracts and work schedule hours/week and supporting documentation. Is aware of and/or acquires the necessary knowledge to comply with the ship’s standard operation, to assist guests and crew members with inquiries. Attends meetings, training activities, courses and all other work-related activities as required. Accountable for daily production recap. Accountable to coach and train the Pastry Cooks.
