Job Description<br><br>Part of the roles and responsibilitite but not limited to are as follows: Assisting with the day to day operations of the assigned fleet and ensure that all aspects of the operation are taken care of in a structured manner.<br><br> Liaise with the shipping agents to ensure documentation is in order so vessels are timely cleared in/out of any Port. Monitor the scheduled requisitions received from Vessel are in line with Procurement Procedures. Ensure that POs are raised for all services and are in line with Purchasing requirements. Follow up for completion is to be done until SO/SR is closed in NS5. Monitor monthly adherence to SVP and ISM/ISPS/MLC Compliance reports received from Vessels and ensure all reports are uploaded to company server and available for future reference. Verify that all Vessel Certificates and Service reports are up to date in NS5 and Office Servers so they can be correctly referenced at any time Maintain records of All Vessel P&I/H&M and Flag Insurance Documents and update vessels as required Attend Vessel Audits, Flag and 3 rd Party Inspections and ensure Corrective Action Trackers are followed up for timely Close outs Ensure that all items as per Vessel Certification and Safety Equipment Status Checklist are serviced on time and any repairs to equipment to be promptly rectified. Assist in the compliance of the Company’s ISM/ISO Quality, Health, Safety Security and Environmental Policies by ensuring Documentation received from vessels are in line with the requirements. <p>Part A: Job Specification</p><p>Job Purpose</p><p>Plan, track and coordinate both planned and unplanned activities and CAT-VI minor capital projects related to the offshore asset and selected service contractors to ensure a safe, effective and efficient shutdown program that is completed within the allocated or available timeframe and within budget. Functions<br><br> JOB DESCRIPTION <br><br>Essential<br><br>In conjunction with Global Mobility, locates personnel as required to meet specific project assignments. Works with Global Mobility to ensure timely mob/demob of personnel to meet project requirements (Schedulink). Coordinate with HR and Global Mobility to obtain any required medicals, visa, and OI general HSE, Code of Conduct and Sumtotal training prior to traveling to work site. Perform required site inductions and gate passes. Co-ordinate Personnel competency assessments including training certification and renewals, client specific training, inductions and gate passes. Ensure all current and new hire training certification is uploaded into Sumtotal. Arrange accommodation for personnel when in country, prioritising staff house accommodation. Co-ordinate with other region operations co-ordinators to share personnel as and when required, maximising utilisation. Assist Operations Manager with personnel recruitment preparing the required forms to any positions required (RAF/NHF) Provide HR with inter regional movement of personnel, and daily reports when required. Assist Operations Manager with preparing permanent and ad-hoc leaver forms. Train and coach personnel with time entry and expense reporting (Crew Time and Peoplesoft). Assist Operations Manager with raising requisitions within Peoplesoft for approval. Report any HSE observations when applicable Report any Cost of Poor Quality (COPQ) observed for continuous improvement.
