We are currently looking for a Personal Assistant for one of our clients in Qatar.


Job Title: Personal Assistant (Arabic Speaking)

Reports To: Principal (VVIP)

Job Summary:

We are seeking an experienced and highly professional Arabic-speaking Personal Assistant (PA) with a strong understanding of protocol and formal procedures. Priority will be given to individuals from the Middle East, particularly Jordan. This role requires exceptional organizational skills, cultural awareness, and the ability to manage sensitive tasks with discretion. A high degree of flexibility in working hours and travel, both within and outside Qatar, is essential for this role.


Key Responsibilities:

  • Executive Support: Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and organizing travel arrangements.
  • Communication Management: Handle correspondence and communications in Arabic and English. Serve as a liaison between the executive and internal/external stakeholders.
  • Protocol Management: Ensure all interactions and events adhere to formal protocols, particularly in diplomatic or high-profile settings. Manage invitations, RSVPs, and event logistics. The candidate should be well-versed in formal procedures, etiquette, and cultural norms, especially within a corporate or diplomatic environment.
  • Butler Services: Oversee the daily needs of the principal, including managing household staff, organizing personal events, and ensuring the smooth operation of the principals residence.
  • Travel Arrangements: Coordinate detailed travel plans, including visas, accommodation, itineraries, and personal preferences, ensuring all aspects align with the principals requirements. Be flexible and available to travel with the principal both within Qatar and internationally as needed.
  • Personal Assistance: Assist with personal tasks such as shopping, managing personal finances, and organizing social calendars. Accompany the principal during travel and events when required.
  • Document Preparation: Draft, edit, and proofread documents, presentations, and reports in Arabic and English, ensuring cultural appropriateness and professional presentation.
  • Confidentiality: Maintain a high level of discretion and confidentiality in handling sensitive information, both personal and professional.
  • Event Coordination: Plan and execute both professional and personal events, ensuring all details are in line with cultural norms and the principals expectations.
  • Household Management: Oversee the operation and management of the principals household, including supervising staff, managing budgets, and ensuring the residence is well-maintained and running smoothly.
  • Flexibility: Be available to work flexible hours, including evenings and weekends, as required by the principals schedule. Adapt to last-minute changes and travel requirements with minimal notice.
  • Cultural Advisory: Provide insights and advice on cultural norms, traditions, and practices to ensure respectful and effective interactions in all settings.


Qualifications:

  • Language Skills: Fluent in Arabic (both written and spoken) and English.
  • Experience: A minimum of 10 years of experience as a Personal Assistant or in a similar role, preferably within the Middle East.
  • Cultural Awareness: Strong understanding of Middle Eastern culture and protocol, with a preference for candidates from Jordan.
  • Education: Bachelors degree or equivalent experience in business administration, communications, or a related field.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Interpersonal Skills: Strong communication, organizational, and time-management skills. Ability to work under pressure and handle multiple tasks efficiently.
