Inventory Control & Audit Officer

To ensure effective control, monitoring, and auditing of inventory across all company warehouses and branches in accordance with company policies, internal controls. The role aims to maintain inventory accuracy, prevent losses, support operational efficiency, and provide timely and reliable inventory reports to management.


Key Duties & Responsibilities

Inventory Control & Operations

·        Monitor inventory levels across all warehouses and branches on a regular basis.

·        Supervise and verify stock receiving, issuing, transfers, and returns.

·        Ensure all stock movements are properly documented and authorized.

·        Maintain accurate inventory records in ERP systems and manual logs.

·        Track distribution of inventory to branches and reconcile quantities issued vs. received.

·        Ensure proper storage, labeling, and handling of materials as per company SOPs.

Audit & Verification

·        Conduct scheduled and surprise physical stock counts at warehouses and branches.

·        Reconcile physical stock with system records and investigate variances.

·        Identify, document, and report losses, damages, expiry, slow-moving, and obsolete items.

·        Ensure compliance with internal controls, company policies, and audit requirements.

·        Support internal and external audits by providing accurate inventory data and documentation.

Loss Prevention & Compliance

·        Monitor inventory risks including theft, misuse, damage, or mismanagement.

·        Recommend corrective and preventive measures to reduce stock losses.

·        Ensure segregation of duties and adherence to approval hierarchies.

·        Report any irregularities or policy violations to management immediately.

Reporting & Management Updates

·        Prepare periodic inventory reports (daily, weekly, monthly, and quarterly).

·        Submit variance, aging, and reconciliation reports to management.

·        Provide timely updates on stock availability, shortages, and operational risks.

·        Assist management in inventory planning and decision-making.

Coordination & Communication

·        Coordinate with warehouse staff, storekeepers, branch managers, and procurement teams.

·        Support smooth inter-branch stock transfers and replenishments.

·        Provide guidance to store and warehouse staff on inventory procedures.


Authority & Accountability

·        Authorized to access all inventory locations, records, and systems.

·        Accountable for accuracy, transparency, and integrity of inventory data.

·        Responsible for timely reporting of discrepancies and compliance issues.


Key Performance Indicators (KPIs)

·        Inventory accuracy and reconciliation rate

·        Reduction in stock losses and variances

·        Timeliness and quality of inventory reports

·        Compliance with audit schedules and SOPs

·        Effectiveness of corrective actions implemented.


Qualifications

·        Bachelor’s Degree in Supply Chain Management, Accounting, Finance, Business Administration, or related field.

·        Professional certification in inventory or audit (preferred but not mandatory).


Experience

·        Minimum 3–5 years of experience in inventory control, warehouse operations, or auditing.

·        Experience managing inventory across multiple locations or branches.

·        Prior experience in GCC markets is an advantage.
