Project Support Specialist (Manpower)

Position Overview:

The Project Support Specialist plays a key role in coordinating and supporting manpower outsourcing projects, including recruitment, mobilization, and administrative functions. The role involves end-to-end coordination with clients, project teams, and internal departments to ensure timely sourcing, deployment, and management of manpower for various projects, particularly in the Oil & Gas and industrial sectors.


Key Responsibilities:


Project Coordination & Support


·       Support the planning, execution, and monitoring of manpower outsourcing projects.

·       Coordinate with clients regarding project requirements, schedules, and manpower planning.

·       Maintain project-related documentation, timesheets, and reports.

·       Ensure timely mobilization and demobilization of workforce as per project timelines.

·       Prepare and update project status reports and manpower deployment trackers.

·       Assist in preparing tenders, proposals, and manpower quotations.


Recruitment & Sourcing


·       Identify, source, and shortlist qualified candidates as per client and project requirements.

·       Coordinate with recruitment agencies, online portals, and internal databases for candidate sourcing.

·       Conduct initial screening and arrange interviews in coordination with the client.

·       Ensure all documentation (CVs, certificates, experience letters, etc.) are complete and accurate before submission.

·       Maintain and update the candidate pool and recruitment tracking sheets.

·       Support the visa processing and onboarding formalities for selected candidates.


Administrative & Coordination Duties



·       Coordinate with HR, finance, and logistics departments for project-related requirements.

·       Ensure compliance with company and client HSE, quality, and operational policies.

·       Track project costs and ensure accurate invoicing as per contract terms.

·       Prepare minutes of meetings and follow up on pending actions.

Skills

Qualifications and Skills:


·       Bachelor’s Degree in Business Administration, Human Resources, or Engineering.

·       Minimum 3–5 years of experience in project coordination and recruitment, preferably in manpower outsourcing or Oil & Gas sectors.

·       Proven experience in sourcing technical and non-technical manpower for large-scale projects.

·       Proficiency in MS Office (Excel, Word, PowerPoint) and recruitment portals (e.g., Naukri Gulf, Indeed, LinkedIn).

·       Excellent communication, organizational, and interpersonal skills.

·       Ability to multitask and handle tight deadlines efficiently.

·       Knowledge of visa processing, mobilization, and client documentation requirements in GCC is an advantage.
