Job Summary
Support the Government Relations Manager in managing a range of essential government-related tasks, associate relations, and administrative duties, ensuring compliance with Qatar's labor laws and all regulatory requirements. This role requires exceptional organizational skills, meticulous attention to detail, and in-depth knowledge of government processes, visa management, and legal documentation.
Essential Duties and Responsibilities
Recruitment, Visa Processing, and Government Relations:
• Manage and process manual job applications, ensuring completeness and accuracy.
• Coordinate submission of visa applications and required documents to government authorities, meeting prescribed deadlines.
• Obtain employment visas and residence permits for associates and their dependents; arrange visit visas through embassies and consulates as needed.
• Arrange new and renewal Qatar ID Cards (QIDs) for all associates, tracking progress and ensuring timely approvals.
• Stay informed on current laws, rules, and regulations, including any changes in forms or processes.
• Maintain an updated record of visa, residence permit, and QID expiration dates to ensure timely renewals.
• Facilitate certificate attestation (e.g., education and marriage) and maintain updated knowledge of attestation requirements.
• Process visa cancellations for resigned team members and ensure accurate, timely updates.
Document Management:
• Organize and maintain hard and soft copies of all government-related documents, including visas, QIDs, food handler certificates, and other essential records.
• Ensure accurate filing and compliance with government relations documentation standards.
• Manage the submission and collection of entertainment licenses from the Ministry of Interior, keeping thorough records.
Administration and Team Support:
• Provide administrative support to the Talent and Culture (T&C) Department, including assistance with scheduling, document management, and team communication.
• Oversee the processing of work permits and ensure compliance with labor laws.
• Maintain updated records for each team member’s passport, QID, and visa information, both online and in physical copies.
• Process exit permits, team member contract registrations with the Ministry of Labour, and monitor the renewal of essential permits, licenses, and registration cards.
• Process ticket requests for eligible team members, verify eligibility, prepare LPOs, and arrange bookings.
Legal and Employee Relations:
• Assist in obtaining police and medical reports for legal proceedings and make recommendations in alignment with Qatar's legal requirements.
• Support planning and execution of associate recognition programs, including long service awards and engagement activities.
• Assist in communicating key messages to team members, fostering a positive relationship with employee representatives for efficient government relations.
Housing and Transport Support:
• Provide support in housing and transport operations as needed, ensuring seamless coordination with the T&C team
