About the role 

As an Assets, Inventory and Warehouse Manager, you will manage the warehouse, inventory and asset management framework of the Corporate Services Division which includes (but not limited to) overseeing delivery of goods into warehouse, maintaining safety standards, leading end-to-end asset management operations while adhering to standard operating procedures. Undertakes projects as directed by the Corporate Services management in order to support Departmental/Corporate initiatives.

Accountabilities:

Operational:

  • Develop innovative approaches to asset, inventory and warehouse management to achieve excellence in accommodation services.
  • Lead multiple special projects by organizing and coordinating information and requirements; planning, arranging, and meeting schedules; monitoring results, ensuring minimum disruption to the core activities.
  • Provide historical references by developing and utilizing filing and retrieval systems.
  • Maintain continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Manage the project process including: estimating costs, obtaining capital project request approvals, managing projects within established budgets and implementing projects within timelines.
  • Develop and standardize procedures and policies to improve and continuously monitor the efficiency and effectiveness of assigned programs, service delivery methods, and procedures.

Warehouse Management:

  • Oversee and ensure that all assets, inventory and stock on hand under the responsibility of Corporate Services are insured on a Property All Risks basis with an appropriate level of cover based on replacement value in conjunction with QR Insurance and Finance departments.
  • Oversee the movement and storage of goods throughout the warehouse, understanding the logistics of handling and moving products complying with the required safety practices.
  • Digitize the warehouse management system into the ERP with the help of material handling systems integrators.
  • Audit and report inventory while making recommendations on items to order and restock complying with the standard operation procedures.
  • Establish warehouse practices and protocols to achieve an efficient warehouse and aid in loss prevention, while keeping an eye on the storage optimization solutions 

Asset and Inventory Stores Management:

  • Lead the annual review of asset and inventory management strategy, detailing the current state of assets, current and future development plans, agreed asset strategy and financial implications, embedding robust asset and inventory management practices across the property portfolio.
  • Proactively carry out regular asset analysis ensuring all Financial and Non-Financial Assets are tagged and the asset registers on FMS/HATS system are in accordance with the Asset management framework.
  • Present recommendations to improve service delivery and balance the reactive operation through a diverse maintenance programme.
  • Timely reconciliation and audits need to be carried out to check out for compliance issues and put proper controls in place to avoid discrepancies.
  • Ensure software developed for Asset Management meets the policy and the operational requirements.
  • Conduct regular team meetings to ensure seamless operations and flow of information.
  • Monitor inventory lines for a hit-rate, consumption patterns by applying industry best practices to keep stocks replenished at all times, at optimum stocking levels for crticial day- to-day operations.
  • Explore and automate the planning, ordering, storage and issuance.
  • Prepare and provide system reports to senior management, report regarding stock levels, issues etc. and analyze the data to anticipate future needs.
  • Evaluate suppliers to achieve cost-effective deals and maintain trust relationships.

IT experience:

  • Engage with department staff to develop effective systems to improve efficiency of operations through automation where feasible. 
  • Ensure all staff are provided with the necessary tools of operation including but not limited to mobiles, laptops/tabs/PC.
  • Ensure each requirement is evaluated prior to any approval.
  • Perform other department duties related to his/her position as directed by the Head of the Department.

Management & Leadership:

  • Establish the department or team’s objectives and priorities to align with and support business objectives.
  • Regularly evaluate the department or team’s objectives, plans, procedures and practices, and makes appropriate changes if needed.
  • Oversee and supervise employees.  Direct daily activities, recruit, train, develop and discipline to ensure a high standard of service delivery. 
  • Train and develop other employees, to ensure succession planning is in place.

Qualifications

About you 

 

Qualifications & Experience

Essential

  • Bachelor's Degree or Equivalent with Minimum 7 years of job-related experience
  • Previous experience in inventory management, warehouse operations, or asset management is crucial.
  • Proficiency in inventory management software, (eg; Oracle, WMS), Microsoft Excel (for data analysis and reporting) and possibly other relevant tools or systems used in warehouse management.

Preferred

  • Masters or equivalent in Business Administration with Finance, Administration, or related fields 
  • Relevant Certifications such as Certified Supply Chain professional (CSCP), Certified in Production and Inventory Management (CPIM) or Certified Professional in Supply Management (CPSM) are preferred.

 

Job Specific Skills

  • Knowledge of principles and practices in Management of services, organizational planning and administration, capital project management and principled and practices of contract management.
  • Excellent project management skills with ability to delivery projects within tight timelines
  • Excellent ability to analyze and interpret the needs of staff customers and offer appropriate solutions within the ambit of laid down guidelines
  • Ability to communicate effectively both orally and writing
  • Strong interpersonal and communication skill and the ability to work effectively with a range of communities / nationalities
  • Detail oriented with ability to deliver outputs within limited time schedules
  • Managerial skills - Ability to delegate work, set clear direction and manage workflow. Strong mentoring and coaching skills. Ability to train and develop subordinate's skills. Ability to foster teamwork among team members. 
  • Attention to detail, high level of accuracy, confidentiality and should be an excellent support mechanism are pre-requisite.
