Role Description This is a full-time, on-site role for an Administrative Assistant / Executive Secretary Filipino National based in Doha, Qatar. The successful candidate will provide essential administrative and operational support to management while assisting with procurement and supplier coordination activities. Responsibilities include managing schedules and appointments, document control, correspondence, preparing purchase orders, communicating with vendors, following up on quotations, coordinating shipments and deliveries, maintaining procurement records, and supporting day-to-day office operations. The role requires strong organizational skills, attention to detail, and the ability to maintain effective communication with suppliers, clients, and internal teams.
Qualifications Strong experience in Administrative Assistance and Executive Administrative Support. Experience preparing and processing Purchase Orders (POs). Experience communicating and coordinating with vendors and suppliers. Ability to follow up on shipments, deliveries, and procurement activities. Strong Excel skills, including calculations, reporting, and data analysis. Proficiency in Microsoft Office applications. Strong document control, filing, and record-keeping skills. Excellent communication, negotiation. Exceptional organizational abilities, attention to detail, and multitasking skills. Ability to maintain confidentiality and professionalism. Finance, Accounting, Business Administration, or related educational background preferred. Previous experience in fit-out, interior design, construction, or contracting companies is highly preferred. Strong problem-solving, follow-up, and time management skills.
