Key Responsibilities and Duties
- Greet clients and welcome patients with a warm, professional demeanor, ensuring a positive first impression.
- Answer and route phone calls, respond to inquiries, and manage multiple communication channels (email, phone, in-person).
- Schedule appointments, manage the clinic calendar, and coordinate with veterinary staff for efficient patient flow.
- Maintain accurate client and patient records in the practice management system, ensuring data privacy and compliance.
- Process admissions and discharges, prepare estimates, and assist with billing and invoicing under supervision.
- Support reception with clinical workflow duties as needed (e.g., preparing intake forms, handling basic patient information).
- Coordinate with the medical team to relay patient information, test results, and follow-up instructions to clients.
- Manage inventory of front-desk supplies and assist with basic clerical tasks (filing, scanning, faxing).
- Uphold veterinary clinic policies, safety protocols, and hygiene standards to ensure a clean and safe environment for clients and staff.
- Participate in training and development opportunities related to animal care, customer service, and clinic operations.
Qualifications and Requirements
- Bachelor’s degree from a recognized university (internship-level consideration for recent graduates).
- Excellent verbal and written communication skills in English; proficiency in Arabic is a plus.
- Strong interpersonal skills with a client-focused, empathetic approach.
- Ability to multitask, stay organized, and maintain composure in a fast-paced environment.
- Basic computer skills and familiarity with common office software; experience with a veterinary practice management system is a plus.
