Job Description
The Community Engagement Coordinator delivers hands-on operational and administrative support to strengthen strategic relationships for HEC Paris, Doha, connecting with alumni, prospective and current participants, corporate and government stakeholders, and partners. The role supports outreach planning, event logistics, communications, and follow-up. It also maintains accurate CRM data and produces recurring engagement reporting to help the team track impact and identify opportunities.
Alumni and Stakeholder Support
- Support delivery of the annual engagement plan and monthly touchpoints.
- Maintain and update stakeholder records, mailing lists, and contact preferences in the CRM.
- Serve as a first point of contact for general alumni and stakeholder inquiries, escalating as needed.
- Manage invitations, RSVP lists, confirmations, and attendance tracking for meetings and events.
- Maintain an outreach tracker for follow-ups, commitments, and next steps.
Events Operations
- Coordinate logistics for community and alumni events (registrations, venues, vendors, guest lists, run-of-show support, post-event follow-up).
- Support on-site delivery, including evening and weekend events when required.
- Support executive protocol basics (VIP lists, seating guidance, briefing notes, and hosting requirements) in coordination with the Head of Community Engagement and the Events team.
CRM, Data, and Reporting
- Apply data hygiene standards – tagging, segmentation fields, duplicates, consent – and coordinate fixes with relevant teams.
- Collect and organize engagement data (attendance, feedback, referrals, inquiries).
- Prepare recurring reports for internal use – weekly RSVP and follow-up status, monthly engagement summary, quarterly KPI pack.
Communications and Content Support
- Support outbound communications to alumni and stakeholders – email, newsletters, WhatsApp groups where appropriate, and social channels.
- Draft and proofread bilingual communications (Arabic and English) and coordinate approvals.
- Coordinate simple creative briefs and ensure outputs follow brand guidelines.
- Work closely with Marketing, Programs, Admissions, Sales, and Alumni teams (Doha and Paris) to deliver engagement initiatives.
Qualifications
Education and experience
- Bachelor’s degree in Business, Communications, Marketing, or related field.
- 5+ years of relevant experience in education, events, external relations, membership/community engagement, and/or communications.
Skills and competencies
- Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel). Expected Excel skills trackers - pivots, basic reporting.
- Comfortable working with CRM systems and contact databases. Salesforce preferred.
- Fluent English and Arabic. French is an advantage.
- Strong verbal and written communication skills, as well as proofreading discipline.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent interpersonal skills and confident working with senior stakeholders with discretion and confidentiality.
- Ability to coordinate across multiple stakeholders and workstreams with strong attention to detail and quality.
- Comfortable working with templates and briefing/design workflows to meet brand standards.
