Job Summary
The Exhibitions, Conferences & Events Organizer is responsible for planning, coordinating, and delivering successful exhibitions, conferences, and corporate or public events from concept to completion. This role involves managing logistics, budgets, vendors, stakeholders, and on-site operations to ensure high-quality, well-executed events that meet organizational goals and client expectations.

Key Responsibilities
Event Planning & Coordination
- Plan, organize, and execute exhibitions, conferences, seminars, trade shows, and special events
- Develop event concepts, timelines, and detailed project plans
- Coordinate event schedules, programs, and floor plans
Vendor & Stakeholder Management
- Source, negotiate, and manage vendors (venues, caterers, AV suppliers, decorators, exhibitors, speakers)
- Liaise with sponsors, exhibitors, speakers, and partners
- Ensure all contracts and service agreements are in place
Budget & Financial Management
- Prepare and manage event budgets
- Track expenses and ensure cost control
- Handle invoicing, payments, and post-event financial reporting
Marketing & Promotion
- Coordinate event marketing and promotional activities
- Work with marketing teams on branding, signage, invitations, and digital promotion
- Support exhibitor and sponsor engagement
Logistics & Operations
- Oversee venue setup, registration, accommodation, transportation, and catering
- Manage event technology (AV, staging, lighting, registration systems)
- Ensure health, safety, and compliance standards are met
On-Site Event Management
- Supervise event setup, live operations, and breakdown
- Handle troubleshooting and last-minute issues
- Ensure a smooth and professional attendee experience
Post-Event Evaluation
- Collect feedback from clients, attendees, and stakeholders
- Prepare post-event reports and recommendations
- Maintain event records and documentation

Qualifications & Experience
- Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or related field (preferred)
- Proven experience in organizing exhibitions, conferences, or large-scale events
- Experience working with vendors, sponsors, and venues
Working Conditions
- Flexible working hours, including evenings and weekends
- Travel may be required depending on event locations
