Job Overview:


We are seeking an experienced, highly organized, and dynamic Chief Executive Assistant to provide comprehensive executive support to the CEO and the senior leadership team. The ideal candidate will possess exceptional communication skills, a high degree of professionalism, and the ability to handle confidential information with discretion. This individual will play a key role in managing the CEO’s schedule, coordinating high-priority meetings, and facilitating communication across the organization and with external stakeholders.

Key Responsibilities:

  • Executive Support:
  • Provide direct administrative support to the CEO, managing daily schedules, appointments, travel arrangements, and correspondence.
  • Coordinate and prepare materials for board meetings, executive team meetings, and other high-level events.
  • Act as a liaison between the CEO and internal/external stakeholders, ensuring effective communication and timely follow-ups.
  • Strategic Planning and Project Management:
  • Assist with project management and follow-up on key initiatives, ensuring deadlines are met and deliverables are achieved.
  • Support the CEO in executing strategic priorities, managing workflows, and maintaining focus on high-level goals.
  • Conduct research and provide insights for decision-making and executive-level presentations.
  • Communication Management:
  • Manage internal and external communication on behalf of the CEO, drafting correspondence, reports, and presentations as needed.
  • Maintain confidentiality of sensitive information and handle matters with the utmost discretion.
  • Meeting and Event Coordination:
  • Organize and coordinate high-profile meetings, conferences, and events for the CEO, including logistics, agendas, and follow-up actions.
  • Ensure that meeting materials and presentations are prepared in advance.
  • Travel and Logistics:
  • Oversee all travel arrangements, including flights, accommodations, and transportation for the CEO and other senior executives.
  • Manage logistics for off-site events, conferences, and international business trips.
  • Administrative Management:
  • Perform general office duties, including filing, maintaining records, and managing correspondence.
  • Prepare and process expense reports, budgets, and other administrative documentation.
  • Relationship Management:
  • Build and maintain strong relationships with key stakeholders, both internally and externally, including clients, partners, board members, and vendors.

Qualifications and Requirements:

  • Bachelor’s degree in business administration, Communications, or a related field (preferred).
  • Minimum of 5 years of experience in an executive assistant or senior administrative role supporting C-suite executives.
  • Proven experience in managing confidential and sensitive information with discretion.
  • Strong organizational, time management, and multitasking skills with the ability to prioritize effectively.
  • Exceptional written and verbal communication skills.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity software.
  • Experience with project management tools and/or enterprise software.
  • Ability to work independently, as well as part of a team, in a fast-paced and high-pressure environment.
  • Exceptional problem-solving skills, attention to detail, and proactive approach to tasks.
