Job Overview:

  • We are seeking an experienced, highly organized, and professional Executive Secretary to support our Chairman.
  • The ideal candidate will be bilingual (Arabic and English) and possess advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, etc.).
  • They will be responsible for managing the Chairman’s schedule, coordinating business trips, and arranging meetings, including taking minutes and handling all necessary follow-ups.

Key Responsibilities:

  • Manage and coordinate the Chairman's daily schedule, including meetings, appointments, and travel arrangements.
  • Arrange business trips, including bookings for flights, hotels, and transportation.
  • Prepare and organize documents, presentations, and reports, ensuring high quality and attention to detail.
  • Record and distribute minutes of meetings, keeping an organized record of all discussions and decisions.
  • Serve as a point of contact for internal and external stakeholders, ensuring clear communication and efficient follow-ups.
  • Conduct necessary research and prepare briefing materials for the Chairman.
  • Handle sensitive information and maintain confidentiality.

Requirements:

  • Experience: Minimum 3-5 years of experience as an Executive Secretary or similar role in Qatar.
  • Language: Fluent in Arabic and English (written and spoken).
  • Technical Skills: Advanced skills in MS Office Suite (Excel, PowerPoint, Word) and other relevant software.
  • Communication: Excellent verbal and written communication skills.
  • Organizational Skills: Strong attention to detail with excellent time-management abilities.
  • Flexibility: Ability to handle urgent requests and adapt to changing priorities with a positive attitude.
