Executive Assistant to CEO

The Executive Assistant to Chief Executive Officer provides high-level administrative support including but not limited to coordinating the CEO's schedules and meetings, conducting research, collecting highly confidential and sensitive information, receiving visitors, handling local and international travel arrangements, in addition to maintaining a proper archiving system.

  • Provide administrative support in tasks related to the CEO's affairs, and organize the day-to-day flow of the CEO's affairs.
  • Handle CEO's verbal/written correspondence by answering questions and obtaining information.
  • Manage CEO's schedules to ensure effective time management by coordinating activities, prioritizing appointments and rescheduling when necessary.
  • Prepare and draft needed correspondence, and develop visual presentation; ensure quality and accuracy of final copy.
  • Meet and greet visitors to CEO's office as appropriate.
  • Act as reference person for staff requests of CEO and take appropriate action where needed.
  • Produce reports and statistical analyses as per the CEO's request.
  • Arrange travel plans, visa, itineraries and agendas of CEO and other executives.
  • Collect and research information on assigned matters.
  • Arrange documents needed for meetings or appointments and take minutes of meeting where applicable.
  • Follow up on pending matters and provide feedback to CEO accordingly.
  • Maintain a proper physical and electronic archiving system.

Requirements

  • Bachelor's Degree in Business Administration or equivalent.
  • At least 3 years of experience as Executive Assistant.
  • Marketing background is a plus
  • Proficiency in English is a must.
  • Computer Knowledge: Microsoft Office (Word, PowerPoint, Excel).
