About the Role
Responsible preparation, reporting and analysis of assigned ORAT projects under the supervision of a Project Manager. Assisting in administrative functions of project-related assignments including overall planning, tracking and documentation of one or several projects from the project proposal phase to the assigned Project closeout. To Assist the Project Manager on the Manpower, equipment and facilities to achieve delivery of QAS Projects. To provide in-depth analysis into QAS Projects and make recommendation to manage the projects for delivery.
Responsibilities
Project Meetings
- Meets regularly with the Project Manager to communicate problems review the progress and to discuss future tasks.
- Arrange Working groups and workstream meetings with the members of the project sponsor, who have overall responsibility for the success of the project. Make advance arrangements well before the day of the meeting. Organize all logistics, contact the attendees and keep a note of any who can't attend. Send them any relevant information, including agendas, papers, reports and presentations and attend each meeting to take minutes.
Documents
- Track the project's progress on MS Projects at every state, from start-up through every activity until the project sponsor accepts the final product in order to complete project on time.
- Develop, maintain update and completes all project documents in the project library, checking that each document is accurate and has been accepted by the project manager.
Risks
- Identify risks and register it to the Risk Register and support Risk Management chart to mitigate the project risks. Discuss the registered risks at team meetings and project board meetings. Mention any new risks and suggest ways to improve the situation.
- Help keep project costs under control through reviewing approved CMC against actual expenditure bills, monitoring for issues in their assign work area that may cause costs to rise and alert the project manager.
Project Design
- Deliver ORAT project requirements as per management plans as directed, to develop practical application of works in a way that contributes to the success of the project and its Strategic Plan.
- Identify and build relationships with stakeholders and their key representatives in order to improve inter department communication with regards to project.
- Work with Manager ORAT, Sr. Projects Officer and other staff to develop appropriate design, evaluation and reporting tools for project work.
Project Delivery
- Work with and co-ordinate associates and other members of staff to ensure that projects are delivered on time, within budget and to specification.
- Tracking the project schedule timelines providing regular updates to the Project Manager. Track project deliverables using appropriate systems (MS Projects) and tools
- Implement and manage project changes and interventions to achieve project outputs as directed by the Manager ORAT.
Project Reporting & Evaluation
- Follow up with project stakeholders for regular updates and reports progress to the Project Manager. Prepare and submit project closure report as directed and working with the Manager ORAT.
Partnership Development & External Stakeholders
- Work closely with the Manager ORAT and Sr. Projects Officer to identify areas of potential interest for future work and projects, and prospective partner departments in Qatar Airways.
- Responsible to partnerships, consortia, tender responses and other approaches with relevant stakeholders in order maintain good relationship to align with QAS Strategic Plan of assign projects.
Events & Communications
- Represent the QAS ORAT in making presentations and participating in discussions with project Stakeholders.
- Draft and oversee the production of communications tools, including reports, presentations, video and social media output (if required).
Other
- Develop and nurture close working relationships to ensure cohesive and cooperative working practices across the QAS ORAT Department and other departments with Qatar Aviation Services.
- Comply fully with the company policies and procedures.
- Perform other department duties related to his/her position as directed by the Head of the Department.
Qualifications
About you
Essential
- Bachelor’s Degree or Equivalent
- Minimum 3 years of job-related experience
- Experience in supervisory role in a ground handling environment
- Experience in managing operational and non-operational projects in an airport environment
- Should be trained in basic MS Projects and MS Excel
- Excellent communication skills for stakeholder interactions
- Project Management skills
- Ability to train and develop subordinate skills
- Ability to foster teamwork among team members
Preferred
- Experience in handling Manpower Deployment, Material deliveries and inter-departmental coordination.
- Ability and knowledge to handle procurement and contracts related activities.
