Human Resources Coordinator

Wyndham Grand Doha West Bay Beach is now looking for a Human Resources Coordinator to join their team!


The Human Resources Coordinator will provide a proactive and supportive Human Resources service to all team members, upholding The Wyndham goals of employee engagement, guest satisfaction and financial profitability and all Human Resources Key Performance Indicators of recruitment, training, retention and administering effective flow of documentation relating to team members.



The incumbent will assist in developing and implementing initiatives which embrace Wyndham values and ensuring that all team members are treated in a positive, fair and supportive manner throughout their employment.




Be the first point of contact for all team members enquiries, assist them with their queries and provide them with the help that they are looking for. Follow-up that the help was well received and the documents etc. that they required we received in a timely manner.




KEY RESPONSIBILITIES

  • Take personal responsibility for ensuring effective flow and administration of all administration including but not limited to team members certificates, file notes, payroll (in absence of HR leader), departmental signature folders, bank letters, opening of new bank accounts.
  • Take personal responsibility for ensuring that all team member personnel files are up-to-date at all times in conjunction with the HR Leader.
  • Ensure that up-to-date, correct contact details are recorded in the OASYS for all team members at all times, including email and mobile numbers. Actively update this information weekly.
  • Ensure that team members receive their requested documents within 3 days from the request. Including, but not limited to bank letters, visa letters, and salary letters.
  • Handle the joiners process for all team members to include:

o Following up on receiving necessary documents together with the signed offer letter from new hires

o Booking and communicating flights for new hires

o Coordinating with housing for room allocations and airport pickups/local transfers o Communicating with Training Manager with new arrivals

o Entering all new joiners in OASYS upon arrival

o Completing all new hire paperwork and documentation during onboarding on first day of commencement

o Handing out the team member handbook, induction plans and job descriptions to new joiners

o Arranging HOD induction meetings for assistant managers and above

o Collecting passport for PRO to start residence visa process

o Updating the new hire tracking sheet

o Coordinating uniform measurements

o Distributing of name tags, hotel IDs and locker keys

o Opening a salary bank account

o Scheduling of ID and Medicals in liaison with PRO

  • Assist team members in making appointments with AHRM/DHR. Ensure that AHRM/DHR is aware of any urgent requests / emergencies concerning team members immediately from being notified / becoming aware.
  • Administer the team member’s birthday celebrations including birthday cards, gifts, daily & monthly announcements.
  • Arranging and communicating the Monthly Awards for Team member of the month, Supervisor/Manager of the Quarter and Count on Me Award.
  • Collecting nominations for the monthly awards and setting up voting
  • Ensuring the copies of the letters of the monthly winners are submitted to Finance before payroll
  • Manage HR notice-boards daily and ensure they display current and relevant information.
  • Proactively engage and bond with team members in all departments and use the information to come up with innovative and effective ideas for team member relations, retention and benefits.
  • Execute ideas together with the Human Resources team but take lead in ensuring the projects reach completion.
  • Ensure all team members files are kept up-to-date at all times and that filing is done weekly in order to comply with the HR standards.
  • Ensure locker tracking sheet is updated at all times
  • Monitor and ensure that all office supplies are ordered in a timely manner.
  • Support the HR team with any courier requests.
  • Take full responsibility to ensure that all team members are on OASYS within the same day from starting at the hotel.
  • Arrange the monthly social event as per Social Calendar. Suggest any new ideas to improve the activities for our team members.
  • Respond to any bus transportation related feedback and liaise with Housing Team when necessary.
  • Arrange transportation for medicals, occupational health cards, trainings, social events or any other HR related trips
  • Conduct bimonthly locker inspections together with Housekeeping and Security.
  • Take full ownership for all flight bookings for vacations. Ensure cost effective tickets are secured and hotel resources are not wasted.
  • Ensure that 3 quotes are sourced for all flights being booked by the hotel.
  • Follow the recruitment budget and take personal responsibility to maintaining the flight costs low at all times.
  • Establish a strong relationship with all 3rd party travel agencies and ensure that frequent airline miles are secured for the hotel with all airlines.
  • Proactively assist the team members in their travel arrangements and provide options to team members at all times. Ensure that team members understand and are fully engaged in the process of their vacation ticket bookings.
  • In situations where a team member is required to pay a difference / or for extras – ensure that the payments are done to the General Cashier prior to releasing the ticket or the necessary documentation is completed
  • Assist the HR leader by being actively involved in the Housing Committee, contributing to the meetings, ensuring follow up and writing the minutes.





Minimum Requirements

  • Ideally 2+ years as a Human Resources Coordinator in a branded hotel
  • Knowledgeable with all aspects of the HR function
  • Able to work with little guidance as it is a stand-alone role
  • Effective HR administration and people management skills
  • Works well under pressure and meets tight deadlines.
