Service Delivery Coordinator

Order Creation:

  • Create and confirm orders in Oracle Transport Management (OTM).
  • Track and trace shipments, ensuring system updates and document requirements are met.

Shipment Planning:

  • Plan sell and buy shipments and ensure full order execution through to delivery.
  • Validate requirements such as credit limits and document mismatches.
  • Coordinate payment, document collection, customs clearance, and delivery planning.
  • Consolidate fleet allocation and coordinate with the Land Transport team.

Shipment Update:

  • Update shipment information including events, Estimated Time of Arrival (ETA), Estimated Time of Departure (ETD), costs, payments, and documentation.

Billing and Invoicing:

  • Create, approve, and dispatch customer bills and supplier invoices.
  • Ensure timely billing and payment, supporting optimal cash flow.

Payment/Collection:

  • Advance payment collection from customers for all shipments.
  • Request payments and manage cash flow.

Document Release

  • Close and release files after service completion.
  • Validate file administration and ensure cost recovery and margin alignment.

Other Support:

  • Handle additional coordination and payment tasks.
  • Organize and follow up on fleet transportation, document release, and customer communications.
  • Open claims in OTM, handle invoice disputes, and manage customer satisfaction surveys.

Communication:

  • **Internal:** Report issues to managers and coordinate with customs and transport departments.
  • **External:** Liaise with shipping lines, port authorities, forwarders, and customers.

Occupational Health & Safety:

  • Follow safe work systems, report incidents, and have the authority to stop unsafe work.

Qualifications and Skills:

  • **Education:** Diploma in any discipline, preferably Business Administration.
  • **Experience:** 2-3 years in freight forwarding.
  • **Skills:** Advanced Microsoft Office, fluent English communication (oral and written), basic Arabic.
  • **Knowledge:** Freight forwarding processes, customer service orientation, relationship building.
