Position Summary

This position coordinates, monitors, and maintains the accreditation of educational activities as well as the full cycle of planning, organizing and executing activities in collaboration with all internal and external stakeholders as necessary.  


Job Responsibilities

  • Coordinates the full cycle of projects related to activities and events in the CPD Division.
  • Ensures that project related issues are resolved, logistics are in place, timelines are met, and other requirements are acted upon and brought to completion.
  • Coordinates the preparation of Regularly Scheduled Series (RSS), providing on-site support  for each activity, attendance, the distribution and collection of evaluation feedback, faculty disclosure and commercial support acknowledgement ensuring compliance.
  • Under the direction of the CPD Manager, monitors status of accredited activity applications  and follows-up as needed. Immediately reports to the Manager any problems noted with applications.
  • Prepares and compiles documents required for accreditation of continuing education activities, ensuring compliance with Accreditation Council for Continuing Medical Education (ACCME) and Department of Healthcare Professions (DHP) requirements.
  • Compiles and maintains current and accurate data of accredited activities and participant information. Produces reports as requested and updates the DHP portal.
  • Monitors and maintains an organized system for tracking and maintaining accreditation related records.
  • Creates activity materials in the web portal and guides other Divisions with the application process.
  • Gathers and analyses data using the web portal, Excel and/or MS Word. Creates and reports results of surveys and audience response systems.
  • Assists in reviewing marketing materials to ensure compliance with the accrediting bodies’ requirements.
  • Provides customers service support to activity attendees.
  • Maintains a professional customers relationship with all stakeholders.
  • Performs other daily tasks such as screening, logging and, creating ITS tickets and facilities requests.
  • Supports the CPD Division with the travel arrangements: flights, hotel room reservations and ground transportation for business purposes in some circumstances.
  • Assists faculty and/or staff from other divisions with any queries relating to the CPD Division,  either by providing information based on own knowledge or directing the query to other staff or faculty as appropriate.
  • Assists with meeting material preparation, taking minutes and other related duties. Maintains confidentiality of information. Maintains the electronic filing system of all documentation on the shared folder.
  • Prioritizes incoming telephone calls, e-mails etc. responding to internal and external queries.  Initiates shopping carts ensuring compliance with financial policies and procedures.
  • Assists with the review and coordination of the payment of invoices, honoraria and other expenses in accordance with financial policies and procedures.
  • Performs other job-related duties as required including general administrative support.    

Skills

Education & Experience

  • Bachelor’s Degree. 4 or more years’ secretarial/administrative experience.
  • Prior Experience in Medical and/ or Healthcare environment is highly desirable.
