Milaha Management System (MMS) 2.0 Governance
• Lead and responsible for the overall management of MMS Central - Milaha’s official documentation registry/depository – inclusive of building, maintaining, and upkeeping MMS Central as a “single source of truth” within Milaha and building links to HSSEQ, Enterprise Risk Management, Sustainability (ESG) and Investor Relations.
• Maintain and administer the central document portal and ensure strict quality control over the contents of the portal.
• Support the end-to-end documentation lifecycle, from tracking requests, write-ups, reviews, and approvals to the final publication of all documents under the team’s control. Set up periodic reviews to ensure all documents continue to be valid and accurate.
• Responsible for receipt, review, and update of process documents including, but not limited to, process flow charts, process measurements, and Policy. Manual, Procedures, etc.
• Ensure all approved documents submitted for upload to MMS Central comply with the approved Delegation of Authority (DOA).
Process Architecture
• Build Milaha Process Architecture to bring transparency into process documentation quality, process maturity, renewal of documents, issue logging, and resolution.
• Generate intel, insights, and statistics from the MMS 2.0 library such as process mapping for performance/KPI data, customer satisfaction scores (CSATs), and/or heat maps on areas needing attention – subsequently work with the relevant accountable person on action plan until resolution.
• Responsible for review and gap assessment (between ‘standard’ and ‘submitted’) for all documents submitted by the BUs. Including, but not limited to, Process Flow Charts, Measurements, Policy, etc.
• Conduct a thorough analysis of documents submitted, identify areas for improvement, and recommend corrections to documents in line with approved templates/ mandatory minimum standards.
• Support team in quantifying the impact of new or revised processes and change management requirements.
Program/Project Support
• Lead assigned activities, including SharePoint updates, meeting- setup, minutes, and follow-up.
• Responsible for managing/assisting in the development/support of new initiatives as agreed with leadership such as process mapping, process documentation, and others as agreed.
• Provide implementation support/ lead or monitor implementation for agreed initiatives and business units.
Education Qualification:
- Bachelor’s degree
- Project Management Certification is desirable.
- Green Belt Certification is desirable
Professional experience
- 4-6 years experience in process analytics/ documentation/ project management
- Formal training in Business and Process Management will be an added advantage.
- Experience in driving process improvement demonstrated and progressive work experience in process control and documentation/process life cycle.
