Job Title: Admin / Receptionist

Location - Industrial Area


Reports to: General Manager

Provide administrative support to GM to secure smooth operation by managing schedules and diary, preparing various reports, and handling requests, as well as performing routine administrative functions such as preparing correspondence, receiving visitors, arranging & schedule meetings.


Key duties and responsibilities

  • Manage and maintain GM schedules and diary.
  • Receive, welcome, and treat Company visitors.
  • Typing letters, documents, and preparing responses to routine correspondence & inquiries.
  • Dealing with emails and phone calls by responding, passing on messages or highlighting them for manager’s attention.
  • Focal point of communication and coordination between departments and HR- PR team.
  • Liaising with staff, suppliers, and clients.
  • Reminding the manager of important meetings & schedules.
  • Coordinate, attend and service meetings as requested and produce minutes.
  • Compile, transcribe, and distribute minutes of meetings.
  • Arranging internal & external appointments, booking meeting rooms and conference facilities.
  • Open, sort, and distribute incoming faxes and mail.
  • Perform general office duties, such as ordering supplies and maintaining general records database.
  • Manage database, file, and retrieve corporate documents, records, and reports.
  • Provide clerical support to other departments if required.
  • Supervise and train other clerical staff.
  • Any other relevant task as assigned by Management


Qualification and Skills

·        Graduate in administration or experience in similar field

·        2-3 years’ experience in a similar role

·        Proficiency with computers and Microsoft Office.

·        Excellent communication and interpersonal skills.
