Accountabilities:
1. Coordinate and direct office services, such as records and budget preparation, personnel, and department requirements. 2. Receive visitors and arrange meetings with department Director and staff. 3. Keep diary for staff appointments for legal action. 4. Open, sort, and distribute incoming mail, including faxes and email. 5. Prepare invoices, reports, memoranda, letters, financial statements and other documents using Word Processing, Spreadsheet, database, and/or presentation software. 6. Prepare responses to correspondence involving routine inquiries, based on retrival of similar cases. 7. Prepare agendas and make arrangements for committee, and other meetings. 8. Do routine filing, typing, distribution of mails, faxing, etc. 9. Retrieve legal memos and documents upon request and authorization. 10. Keep records for legal opinion for easy retrieval. 11. Assist in typing memorandum and prepare attachments and documents. 12. Able to react to change productively 13. Perform other duties as assigned.
Education:
High School plus ‘Passed’ English Language Test (Elementary-1) conducted by HMC Learning and Development. Note: The Passed’ English Language Test requirement is not applicable to existing HMC staff, subject to Department confirmation on the staff English language proficiency skills.
Experience:
3 years administrative or secretarial experience out of which 2 years as Secretary
