The data entry operator’s responsibilities include collecting and entering data in databases and

maintaining accurate records of products received, expiry dates & stock movements, etc.

The ideal candidate should have essential data entry skills, like fast typing an eye for detail, and

familiarity with data entry software, spreadsheets, and online forms.

The data entry operator updates maintains, and retrieves information held on the computer

software system. Also, transfer information that is on paper to computer files.

The data entry operator needs a good knowledge of accounting and should be familiar with

Microsoft Office Applications and other retail software.

Data entry operators should be proactive measures whilst concurrently capable of analyzing

problems, identifying alternative solutions, and implementing recommendations for resolution.

Communicating clearly and concisely, both orally and in writing with company management, co-

workers, and third parties in different settings.

Ability to work independently and as part of overall team structure.

Excellent communicator who motivates and empowers others to stretch themselves and reach

high goals.


RESPONSIBILITIES:

Data Entry Officer undertakes a variety of functions and roles including but not limited to:

 Check product availability on the Rafeeq Mart App against physical stock (especially for

fresh bakery, dairy products, fresh fruits, vegetables, and Ready meals)

 Ensure out-of-stock products don’t show as available on the APP

 Ensure daily GRN is done and followed for all branches

 Ensure proper filing of Invoices

 Ensure correct prices and barcodes are used across all branches

 Check product pictures and descriptions are correctly displayed on Rafeeq Mart APP

 Gathering invoices, statements, reports, scanning through information to identify

pertinent information.

 Correcting errors and organizing the information in a manner that will optimize swift and

accurate data capturing.

 Creating accurate spreadsheets.

 Entering and updating information into relevant databases.

 Ensuring data is backed up.

 Informing relevant parties regarding errors encountered.

 Storing hard copies of data in an organized manner to optimize retrieval.

 Handling additional duties from time to time.

 Compile, verify accuracy and sort information according to priorities to prepare source

data for computer entry

 Review data for deficiencies or errors, correct any incompatibilities if possible and check

output

 Apply data program techniques and procedures

 Generate reports, store completed work in designated locations and perform backup

operations

 Respond to queries for information and access relevant files

 Comply with data integrity and security policies

 Ensure proper use of office equipment and address any malfunctions

 Encoding information, troubleshooting processing errors and achieving an organization's

goals by completing the necessary tasks.

 Combines data from both systems when account information is incomplete.

 Purges files to eliminate duplication of data.

 Tests customer and account system changes and upgrades by inputting new data.

 Maintains operations by following policies and procedures and reporting needed

changes.

 Maintains customer confidence and protects operations by keeping information

confidential.

 Gathering invoices, statements, reports, documents and information from suppliers and

clients.

Inventory Management & Stock Distribution

 Data Entry operator should be available during the stock take.

 Monitor stock availability and transfer in and out between all branches

 Checking internal stock between branches before shop managers prepare LPOs

 Do an online and in-store price comparison for snacks, chips, chocolates, and soft

drinks between online competitors and shops of equal size

 Physical check of stores to check near expiries

 Physical check of stores to check merchandising, availability, out of stock and take

appropriate action

 Track expiries for all branches and prepare all expiry lists 2 months in advance

 Check slow-moving items and dead stock from all branches and share a report with

the management and suppliers when required

 Ensure effective monthly Inventory management process along with Data Entry

team and Finance

 Responsible for inventory planning, scheduling, and general stock management

 Review and analyze stock and sales reports monitoring over and under stocks,

implementing corrective action to be taken.
