We are looking for experienced Admin Manager to join our team and Providing overall Management of Qatar Living Administrative Functions. The ideal candidate will be responsible to ensure high standard of administrative service, oversight, planning, developing and implementation of the administration function with smooth provision of required support to other departments in line with standards and operational principles.


Key Areas of Responsibility


  • Provide support to the relevant stakeholders in administrative tasks, including follow up and organizing of meetings and maintaining the agenda with reminders in collaboration with the line manager.
  • Provide support and facilitate team building activities as requested.
  • Follow up on maintenance requirement for office.
  • Prepare all the necessary purchase and payment requests for office and departments.
  • Prepare and follow up contracts/payments in regards of the maintenance of administrative systems for the safe and efficient functioning of the office.
  • Ensure the office is in compliance with health and safety standards, secure, operational and fully stocked as appropriate and functions smoothly.
  • Establish and ensure implementation of internal administrative policies and procedures.
  • Trouble shoot Administration and health and safety problems, red flag potentially serious problems, informing immediately the higher-level managers.
  • Supervise the process of maintaining administrative records and files.
  • Ensure that Visas for international staff/visitors and/or work Permit processes are implemented, tracked and followed up appropriately through PRO.
  • Responsible for organizing events (conferences, trainings, retreats).
  • Provide support to departments staff in organizing trainings if required.
  • Manage office services, building services and hospitality to visitors.
  • Assist in the annual Administration department budget preparation.
  • Provide adequate support for admin team, setting up goals, measuring performance, developing capacity and recognizing results.
  • Provide line management and support to Cleaners and Admin Team when required.
  • Carry out regular customer satisfaction survey and ensure the feedback and recommendations are taken into consideration so as to achieve the excellence in admin. Services.
  • Attending meetings with the local Authorities when needed.




Essential

· Bachelor’s Degree in business administration or Equivalent.

· A minimum of 5 years’ experience in administrative role or similar role including at least two year’s relevant experience working in the state of Qatar.

· Experience managing a remote development team across different geographies and time zones.

· Fluency in written and spoken English.

· Experience in policies/procedures in regard to Admin Department.

· Knowledge of office administration

· Knowledge of basic procurement and communication with service providers

· Computer aptitude and experience with word processors.

. A transferable QID/visa (NOC should be readily available).

· Self-disciplined with good time management skills

· Analytical aptitude and attention to details

· Cross-cultural sensitivity, adaptability and flexibility

· Good interpersonal and negotiation skills; team player

· Honesty and commitment to World Vision principles.

· Exhibit spiritual maturity, integrity and a dynamic personal sense of life calling.


Desirable

· Basic Arabic speaking knowledge.
