About the role
Provide coordination support for the smooth functioning of the divisions’ operations. Represents the department through the management of correspondence, telephone and personal contacts. Undertakes projects as directed by the Corporate Services management in order to support Departmental / Corporate initiatives.
Accountabilities
Operational
- Tracking any Transportation Allowance cease or release as per QR policy and the divisional operational requirement.
- Monitor and manage Facilities Management System (FMS) and assign tasks as per zones, skills etc. as per defined process.
- Responding to requests from departments / staff regarding maintenance issues and ensures that corresponding action is carried out to complete the task.
- Continuously evaluate system limitations of the various FMS modules, comparing them with the actual on-site scenarios so they can be taken to IT for system enhancement/development.
- Draft business documentation for FM, including report writing, letters to landlord, presentations, spreadsheet / dashboard preparation and periodically update such documents, which serve as a day-to-day guideline for the larger FM technical task force.
- Organize and priorities tasks for FM leadership briefings, monitors action areas and reports progress.
- Manage a team of employees who coordinate internal and external communications with QR staff and service providers for power shutdowns, generator testing, and façade cleaning etc. so that occupants can plan their day accordingly.
- Act as Point of Contact for all audit related queries (internal or external) on the FM tasks.
- Perform other department duties related to his/her position as directed by the Head of the department.
Data Protection
- Ensure that any personal data obtained and processed is treated in accordance with data protection principles followed by the Group, as well as applicable Group policies and Procedures on data protection and information security
- Consult the Groups Data Protection Officer (DPO) officer prior to making decisions on the processing, storage, retention and deletion of professional data with regards to responding to Subject Access Requests (SARs) conducting data Protection Impact Assessment (DPIAs) and identifying any personal data breach, if there is no policy or procedure that provides adequate guidance.

Essential
- Relevant college or university qualification to minimum bachelor’s level, with minimum three years of job related experience.
- Prior experience in procurement and contracts.
Job Specific Skills:

- Excellent command of English language written and spoken.
- Ability to work in a cross-culture environment.
- Maintain confidentiality and self-discipline.
- Should be motivated, responsible and focused.
- Very good knowledge of MS Office (outlook, excel, word)
