Requirements
GU-Q is seeking On-call Administrative Assistants to join our pool. The assistants will support a variety of administrative tasks across multiple departments on an as-needed basis. This part-time role offers flexibility and provides valuable exposure to a wide range of tasks and departments within the organization.
Work will be available primarily during standard business hours (8:00 a.m. – 5:00 p.m.), and on-call employees will receive advance notice when their services are needed. The anticipated start date is in February.
As this position is based in Doha, Qatar and offers no relocation assistance, GU-Q is looking for locally based candidates only. This is a part-time (up to 20 hours per week), non-sponsored position that requires all applicants to already have the necessary sponsorship to live and work in Qatar. Key Accountabilities

- Provide flexible and responsive assistance across various functions within the organization during peak periods, staffing gaps, or special projects, including managing incoming communications, maintaining organized filing systems, and assisting with scheduling appointments and meetings for team members.
- Perform data entry, manage databases or spreadsheets, and assist with travel arrangements as needed.
- Coordinate logistics for internal and external events and prepare meeting agendas, minutes, and materials.
- Address and resolve general administrative issues promptly and effectively, collaborating with team members to find solutions to challenges and understanding specific support needs of various departments within the organization.
Key Activities
- Manage incoming communications, including phone calls, emails, and other messages.
- Assist in maintaining organized filing systems, both electronic and physical.
- Perform data entry and manage databases or spreadsheets as needed.
- Schedule appointments, meetings, and conference calls for team members.
- Assist with travel arrangements and create detailed itineraries when required.
- Coordinate logistics for internal and external events.
- Assist with Human Resources activities.
- Prepare meeting agendas, take minutes, and distribute materials.
- Address and resolve general administrative issues promptly and effectively.
- Collaborate with team members to find solutions to challenges.
- Collaborate with various departments to understand specific support needs.
- Other similar duties as assigned.
Knowledge and Skills
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite and other relevant software.
- Strong organizational abilities.
- Attention to detail and accuracy in completing tasks.
- Ability to maintain confidentiality and handle sensitive information.
- Capacity to adjust to varying work hours based on organizational requirements.
Qualifications
- Bachelor degree or equivalent combination of education and work experience.
Experience
- Prior relevant work experience in higher education or non-profit organizations is preferred.
