Office Administrator/Government Relations Coordinator (QFC/QFZ) | Doha | Full-time
Role Summary
Administer the Doha office and personally handle all government/zone/banking errands for a QFC passive HoldCo and a QFZ (Umm Al Houl) trading company. The role blends office administration with government relations (PRO/mandoob): QFC CRO filings and SSP coordination; QFZ license, site access and port passes; utilities/telecom setup; immigration (Metrash2); bank KYC deliveries; attestations/notarizations; vendor scheduling; and meticulous document control.
Key Responsibilities
- QFC filings & liaison: Prepare/submit CRO post-registration filings, maintain statutory books and resolutions, coordinate with the Support Services Provider (SSP), schedule signatures and attestations.
- QFZ & Hamad Port: Drive QFZ investor portal onboarding; compile license pack; manage site access cards, driver/vehicle passes, and HSE/site inductions; book escorted inspections; support lease/LOA execution and utilities hook-up at Umm Al Houl.
- Immigration & IDs: Handle Metrash2 tasks (QIDs/renewals, medicals, fingerprints, PCC), track expiries and appointments; coordinate with external PRO support when required.
- Banking & compliance errands: Deliver KYC/UBO packs, notarized/attested documents, Chamber of Commerce/MoFA steps; collect acknowledgements and keep a run-log.
- Utilities & set-up: Kahramaa accounts, Ooredoo/Vodafone lines, Qatar Post/PO Box, National Address; signage and access control.
- Vendors & appointments: Auditors, insurers, brokers, warehouse/IT; maintain an integrated calendar of deadlines; create checklists and trackers.
- Documentation & SOPs: Scan/file receipts, stamps and approvals; keep SOPs for each recurring process; maintain an expiry calendar for licenses, visas, passes.
- Ad-hoc admin: Petty cash, courier runs, basic procurement (stamps, badges), office set-up.
Compensation
- Base salary

Required Skills
- Prior office admin and/or PRO/GRO or government-liaison experience in Qatar.
- Familiarity with QFC vs QFZ processes
- Languages: Arabic & English (spoken/written).
- Basic finance/admin knowledge (receipts, stamping, attestations).
- Licenses/IDs: Valid QID and Qatar driving license
- Systems: Comfortable with Metrash2, QFC & QFZ portals, MS Office/Google Workspace.
- Traits: Discreet; persistent follow-up, organized, trustworthy, clear communicator, comfortable at counters and with officials.
