Job Overview
We are seeking a dedicated and highly organized Private Personal Assistant / Assistant House Manager to provide comprehensive support, combining travel coordination with private household assistance. The ideal candidate will excel at managing complex travel logistics while ensuring the employer’s personal and household matters are seamlessly handled. This role requires discretion, flexibility, and an impeccable ability to anticipate needs.
Key Responsibilities
Travel Coordination:
- Plan, book, and manage domestic and international travel arrangements, including flights, accommodations, visas, and transportation.
- Prepare detailed travel itineraries and ensure they align with the employer’s schedule and preferences.
- Manage last-minute changes or cancellations and resolve travel-related issues like delays or emergencies.
Assistant House Manager:
- Track house-related expenses and prepare reports of the household spending.
- Handle all domestic staff matters, including recruitment, onboarding, rostering and disciplinaries, with support from the Head Office.
- Handle maintenance issues with the support from the head office team.
- Liaising with other third parties, vendors, and service providers on behalf of the principal.
Schedule and Calendar Management:
Synchronize the employer’s professional and personal calendars to avoid conflicts.
- Schedule meetings, appointments, and events, both during travel and at the home base.
Private Personal Assistance:
Provide support with personal tasks, including organizing family events, managing personal correspondence, and handling private purchases.
- Assist in managing the employer’s household, including liaising with household staff, vendors, and service providers.
- Organize and oversee maintenance or improvement projects for the employer’s property.
Packing and Logistics Support:
- Assist with packing and organizing personal and professional items for travel.
- Ensure personal preferences, such as dietary needs or leisure activities, are accommodated during travel.
Problem-Solving and On-the-Go Support:
- Address unforeseen challenges or emergencies with discretion and efficiency.
- Provide real-time assistance during travel and events to ensure a seamless experience.
Administrative Support:
- Maintain confidential records and manage personal and professional files.
- Support the employer in managing correspondence, drafting emails, and preparing reports.
Key Skills and Qualifications
- Experience: Proven experience as a Personal Assistant with a focus on both travel coordination and private assistance.
- Education: Bachelor’s degree or equivalent in business administration, travel management, or related fields.
Skills:
- Exceptional organizational and multitasking abilities.
- Proficiency in travel management tools and Microsoft Office Suite.
- Outstanding communication and interpersonal skills.
- Strong problem-solving and crisis management capabilities.
Language: Fluency in English is mandatory.
