Purpose:
Plans, organizes, coordinates and controls general departmental administrative and Tendering activities as directed by Senior Contracts Specialist.
Main Responsibilities & Tasks
- Assist Senior contracts specialist to prepare tender documents, arranges site visits and issues any bulletins during the tendering stage.
- Assist Senior contracts specialist to ensure that the tendering process is carried out in accordance with approved policies and procedures.
- Assist Senior contracts specialist to prepare commercial bid reports and commercial clarifications.
- Ensures that contract particulars are correctly loaded into the ERP system for approval, Blanket Purchase Agreement are signed by contractors and handed over to end users accordingly.
- Expedites suppliers and end users to ensure prompt receipt of information in a timely manner and in line with procurement procedures.
- Assist Senior contracts specialist to analyse end user needs to identify repetitive orders in order to recommend and establish potential Blanket Purchase Agreements.
- Monitors expiry of existing Contracts & Blanket Purchase Agreements to ensure that timely re-tendering and mobilization for new engagements do take place.
- Process variation requests to existing contracts & Blanket Purchase Agreements as and when requested by end users in line with Procurement Directorate procedures.
- Ensures that all procurement activities are consistent with approved tenders and contract procedural requirements.
Minimum Required Qualifications, Certificates & Skills
- Bachelor's degree in business administration
- Minimum 3 years’ experience in similar field.
