Administration Coordinator | GS Hub Management

About the role

Provide administration support to the Ground Services Senior Managers. Perform secretarial duties, which require the handling of confidential and sensitive information.  Represent department through management of correspondence, telephone and personal contacts.

Key accountabilities include:

·        Manage, coordinate and maintain calendar of appointments, travel arrangements, records of communication (documents, faxes, mail) to meet the requirements of the department, to record, filter,  disseminate  and communicate all incoming and outgoing matters.

·       Independently manage multiple tasks and assigned projects whilst respecting deadlines and simultaneously ensuring the integrity of all information and data.

·       Communicate and provide information internally and externally to assist and enable administrative support and effective service to the concerned sections.

·         Refer routine matters to appropriate person for action and follows up to ensure completion.

·         Establish a confidential filing system for all correspondence  generated to and from the Ground Services Department.

·         Prepare and distribute correspondence, memos, effectively reply to emails and telephone calls.

 

Qualifications

The successful candidate will have the following qualifications and skills:

 

·         High school or University qualification

·         Minimum 3 years of relevant experience

·         Excellent communication skills with fluency in English language.

·         Good knowledge of MS Office. 

·         Experience working in an administrative role previously

·         Excellent multitasking skills

·         Maintaining confidentiality and self-discipline
