Job Overview:

We are seeking a highly skilled and experienced Event Coordinator to join our dynamic team. This individual will be responsible for organizing and managing events, preparing technical proposals for clients, creating detailed event documentation, and handling client communications throughout the planning and execution phases. The ideal candidate will have a strong background in event management, with a deep understanding of proposal creation and client management.

Key Responsibilities:

  • Event Planning & Coordination: Oversee the planning, coordination, and execution of events from inception to completion, ensuring all aspects are delivered according to client expectations.
  • Technical Proposals: Develop and deliver comprehensive technical proposals tailored to client needs, ensuring all logistical, technical, and creative requirements are accurately addressed.
  • Client Communication & Management: Act as the main point of contact for clients, providing regular updates and ensuring smooth communication throughout the event planning process.
  • Event Documentation: Prepare and manage all necessary event documentation, including contracts, event timelines, budgets, vendor agreements, and post-event reports.
  • Vendor Management: Coordinate with vendors, venues, and suppliers to secure necessary services, ensuring they align with event objectives and budget.
  • Team Collaboration: Work closely with the internal team, including designers, logistics coordinators, and technical staff, to ensure all event components come together seamlessly.
  • Budgeting & Cost Management: Assist in creating and managing event budgets, ensuring that all costs are kept within the specified limits while maintaining the highest standards of service and quality.
  • Troubleshooting & Problem Solving: Resolve any on-site issues promptly and efficiently to ensure that events run smoothly without disruptions.
  • Post-Event Evaluation: Conduct post-event debriefs with clients to assess satisfaction and identify areas for improvement for future events.

Requirements:

  • Experience: At least 5 years of proven experience in event management, with a focus on technical proposal creation and client coordination.
  • Skills:
  • Strong project management skills with a keen eye for detail.
  • Excellent verbal and written communication skills.
  • Proficiency in creating technical proposals, contracts, and event documentation.
  • Strong organizational and multitasking abilities, with the ability to manage multiple events simultaneously.
  • In-depth knowledge of event planning software and tools.
  • Strong negotiation skills and the ability to manage relationships with clients and vendors.
  • Education: A degree in Event Management, Hospitality, Marketing, or a related field is preferred.
  • Language: Proficiency in English (Arabic is a plus).
  • Personal Qualities: Creative, proactive, solution-oriented, with excellent time-management skills.
