Project Officer

About the role:

As a Project officer you will be responsible to initiate, plan, supervise and deliver small to medium sized projects. Assist the Project Manager with the overall management of all projects from planning, monitoring and executing departmental projects for new shops, refurbishments, promotional and maintenance works in order to achieve project success. Supervise and participate in business projects and closely liaise with other stakeholders as per the project requirements. Deputize for Project Manager when necessary.

Key accountabilities include:

  • Responsible for small to medium size projects, monitor project schedules, prepare progress reports, and liaise with key stakeholders to achieve project success.
  • Review project submissions and provide comments / make corrections on drawings in PDF and computer aided design format where required.
  • Provide project weekly report, responsible in recording and closing of all project snag list.
  • Maintain project documentation, track the project's progress at every stage, ensure all documents are organized and under control from start-up through every activity until the project board accepts the final product.
  • Alert the Project Manager if any issues at work area might cause a raise of project cost, ensuring such issues are addressed at the earliest stage to support the Project Manager to keep project costs under control.
  • Review the design and execute promotional Pop-Up stands and organize events, ensure its delivered on time and to the required qualify standard (within agreed specifications).
  • Represent business unit at on-site meetings to discuss crucial issues, site verifications, prioritize meeting agenda items accordingly to ensure all concerns impacting the project delivery are addressed.
  • Assist the Project Manager to identify any potential dangers to the project, suggesting ways for improvement to ensure project execution.
  • Liaise with relevant authorities (Police, MOI, Customs, Immigration, QCD, Supreme Council of Health or any one of the government agencies) by on-going meeting, email, telephone conversation, obtain necessary approval from various Project Board (Contractor, Project Manager, Department Head, or Senior Vice President) to ensure project compliances and execution.
  • Liaise with the contractor, QDF internal department, brand partner and project end-user via meeting, email, telephone conversation, etc. in order to share correct and timely propagation of information to all stakeholders ensuring all parties can prepare and execute the relevant parts of the projects.
  • Review the project schedule regularly to ensure tasks are completed by all parties within the agreed upon time.
  • Evaluate the feasibilities of each project task based on the project status, reporting any delay as soon as possible to the Project Manager if any.
  • Log, manage and analyze information on the progress of the project by using all databases, assisting the Project Manager to drive the project forward from planning to implementation.
  • Perform other department duties related to his/her position as directed by the Head of the Department.

Qualifications

About you:

The successful candidate will have the following qualifications and skills:

High School Qualification / Vocational Qualification /Diploma or Equivalent (Type of Diploma Based on Role) with Minimum 4 years of job-related experience OR 

Bachelor's Degree or Equivalent with Minimum 3 years of job-related experience

  • Experienced in project management role.
  • Knowledge of project management, techniques and tools.
  • Highly developed planning, analytical and problem-solving skills.
  • Proven negotiating and influencing skills.
  • Grasp of commercial impacts and financial/ budgetary work.
  • Excellent English communication (written and spoken) and facilitation/ presentation skills.
  • Software including 3D Max, Adobe, Project Office, CAD, Photoshop.
