HSE Administrator

Overview

The HSE Administrator is responsible for providing administrative support to the Health, Safety, and Environmental (HSE) department.

This role involves managing HSE documentation, maintaining records, coordinating training sessions, and ensuring compliance with HSE policies and regulations.

The HSE Administrator works closely with the HSE team to facilitate the smooth operation of HSE activities and supports the implementation of safety programs across the organization.

Responsibilities

  • Maintain and update HSE records, including training logs, incident reports, safety audits, and compliance documents.
  • Assist in the preparation of HSE reports, presentations, and performance metrics for management review.
  • Coordinate HSE training sessions, workshops, and meetings, including scheduling, logistics, and attendance tracking.
  • Manage the document control system for HSE procedures, policies, and guidelines, ensuring all documents are current and accessible.
  • Support the incident reporting process by collecting data, maintaining logs, and ensuring timely documentation.
  • Assist in the coordination of internal and external HSE audits, inspections, and site visits.
  • Monitor the implementation of corrective and preventive actions to ensure compliance with HSE standards.
  • Provide administrative support for HSE initiatives, including data entry, filing, and maintaining an organized HSE database.
  • Communicate with project teams, contractors, and suppliers to ensure compliance with HSE requirements.
  • Manage personal protective equipment (PPE) inventory, orders, and distribution to employees and contractors.

Education

  • High school diploma or equivalent; an associate degree or certification in Occupational Health and Safety or a related field is .

Certifications / Specialization / IT Skills

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and experience with HSE management software is .
  • Certification in HSE administration or similar is an advantage.

Years Of Experience

  • Minimum 3 years of experience in an HSE administrative role, preferably in the oil and gas, construction, or manufacturing industries.

Technical Knowledge

  • HSE Documentation Management: Familiarity with HSE documentation, including maintaining records, preparing reports, and ensuring compliance with safety standards.
  • Regulatory Compliance Awareness: Understanding of HSE regulations, industry standards, and best practices, with the ability to support the implementation of HSE policies and procedures.
