Personal Assistant

Position Summary:

We are seeking an experienced and highly organized individual to work closely with our CEO as their Personal Assistant. This pivotal role requires exceptional administrative skills, excellent communication abilities, and a thorough understanding of the CEO's strategic objectives. The Personal Assistant will play a critical role in managing the CEO's daily schedule, coordinating travel arrangements, and providing administrative support to ensure efficient operations.


Responsibilities:

1. Calendar Management:

- Proactively manage the CEO's calendar, scheduling and organizing appointments, meetings, and events while ensuring optimal time allocation and reducing conflicts.

- Prioritize meeting requests and coordinate with internal and external stakeholders to ensure maximum productivity and efficient use of the CEO's time.

- Provide timely reminders and follow-ups to ensure adherence to deadlines and commitments.


2. Travel Coordination:

- Plan, coordinate, and manage all travel arrangements, including flights, accommodations, ground transportation, and visas.

- Prepare detailed itineraries and ensure all travel-related documents and arrangements are well-organized and readily accessible.

- Anticipate potential issues or challenges and develop contingency plans to ensure smooth travel experiences for the CEO.


3. Communication and Correspondence:

- Manage incoming calls, emails, and messages for the CEO, screening and prioritizing them based on urgency and importance.

- Draft and prepare professional and confidential correspondence, presentations, and reports as required.

- Maintain effective and seamless communication channels with relevant stakeholders, both internal and external, ensuring timely responses and follow-ups.


4. Administrative Support:

- Provide comprehensive administrative support to the CEO, including preparing meeting agendas, taking accurate minutes, and distributing follow-up action items.

- Perform general office duties such as filing, document management, expense tracking, and maintaining office supplies.

- Manage and maintain the CEO's contacts, ensuring accuracy, completeness, and confidentiality.


5. Information Management:

- Gather, organize, and synthesize information from various sources to prepare reports, presentations, and briefing materials for the CEO.

- Conduct research on specific topics or projects as requested, providing summarized findings and recommendations.


Requirements:

- Proven experience as a Personal Assistant or similar role, preferably supporting high-level executives or CEOs.

- Strong organizational skills with exceptional attention to detail and the ability to handle multiple tasks simultaneously.

- Excellent written and verbal communication skills, with the ability to interact professionally and confidently with internal and external stakeholders.

- Proficient computer skills, including MS Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with modern office equipment.

- Demonstrated ability to maintain strict confidentiality and exercise discretion in handling sensitive information.

- Ability to work independently, prioritize effectively, and meet deadlines in a fast-paced, dynamic environment.

- Flexibility to work outside typical business hours and be available for occasional travel.
