We are now looking for an Admission Assistant to join our team at this unique and exciting time!
In this critical role, you will be responsible for establishing, leading, and delivering Queen’s Qatar admission process. You will guide and engage with parents and students in their admission journey, creating a positive and seamless experience for them.
You will play a pivotal role in fostering a professional and positive environment and creating a warm, welcoming atmosphere for members of our school community. Along with the Principal, you will be a leading ambassador in facilitating relationships with internal and external stakeholders.

Areas of Responsibilities
- Responsible for the management and operation of all aspects of the admissions process; the recruitment of pupils and forecasting, from enquiry through to starting at the school.
- Work alongside the Principal and the Head of Marketing, to formulate and take full responsibility for the admission strategy.
- Responsible for the pupil admission process into the Early Years, Primary, Secondary, and 6th-Form of the school.
- Ensure timely communication, responding to all new parents’ contacts within 24 hours
- Conduct school tours for prospective students and parents.
- Arrange entrance interviews and internal assessments.
- Provide detailed and consistent answers in written and oral form.
- Ensure a high level of warmth and engagement throughout each family’s journey.
- Appreciate each family’s unique story and exert your empathy and listening skills.
- Facilitate the application process for each new family.
- Follow up with prospective parents at all stages of the journey.
- Liaise and help the Senior Management Team regarding decisions around each applicant, monitoring offers, managing waiting lists, and recording all responses.
- Organise open days in collaboration with the Head of Marketing.
- Monitor market trends and provide detailed statistics, reports, and information to members of the SMT.
- Report on KPI data when necessary.
- Liaise regularly with academic staff to review applicants’ files.
- Liaise with the Ministry of Education and other government entities.
- Support families during their induction process to ensure a positive start at the school.
- Share admissions best practices across the group.
- To set targets for admissions annually along with the Principal and the Head of Marketing.
- Maintain the School Information system.
- Maintain the admissions policy and pages on the school website.
- Monitoring of payment of all admissions associated fees with the Accounts Office.
- As the school grows, manage other members of the department.
About You
- Previous experience in a similar role in an international school.
- Empathetic understanding of parents’ needs and potential pain points.
- Warm, personable, curious, and empathetic personality.
- High level of integrity and leadership skills.
- Bachelor’s degree.
- International exposure and understanding of cross-cultural environments.
- Outstanding interpersonal and communication skills.
- Excellent verbal and written communication skills in English.
- Command of Arabic and/or additional languages a strong plus.
- Self-motivated, proactive, and solution-oriented.
- Strong organisational skills with attention to detail and the ability to manage multiple tasks effectively.
- Detailed and thorough in your administrative and clerical procedure.
- Familiarity with Open Apply and ISams are highly desirable.
