The key role of the dispatcher would be to execute all daily orders from sales department and handles orders received by phone or emails and ensure deliveries are done in a timely manner while ensuring safe and efficient operation of vehicles and safety of drivers
- Coordinate the movement of truck and deliveries with customers and contractors
- Reports any mechanical and deficiencies and breakdown to Maintenance Supervisor
- Assists in the implementation of drivers briefings prior to movement and resolves any driver’s issues
- Analyse data, Track trends, and Reports discrepancies in trips Movement
- Plan and arrange deliveries according to weekly schedule/requests received by Sales
- Track and ensure all the available tankers in the facility are filled and ready for dispatch
- Perform proper handover between shifts by recording activities already performed or pending for the following shift in the Logbook
- Update daily Distribution activity reports such as tanker/trailer location, Distribution consolidated report, weekly plan, etc
- Supervise and direct drivers and labours for Distribution activities
- Inspect the cleanliness of all vehicles and ensure loaded/unloaded products are as per Sales order
- Monitor and supervise the pre & post trip inspection with local & export drivers & ensure to maintain the records in case required
- Keep proper documentation/records to swapped trucks/tankers
- Attend customer’s direct calls to dispatch centre
- Report to maintenance for any vehicle malfunction experienced by the drivers
- Maintain a filing system for the safety checklist prior and after delivery
- Perform all Distribution activities in the ERP system, filling of vehicles, receiving from suppliers, pick release the ordered quantities and ship confirm the delivered quantity
- Prepare delivery notes through the system or manually in case of any system failure
- Arrange daily deliveries to fulfil Sales requirement
- Supervise and direct drivers and labours on day-to-day activities
- Utilize ERP system to generate Sales Orders
- Give monthly safety trainings to drivers and labours
- Ensure the job is performed by adhering to safety standards applicable
- Protect environment, operate on a clean basis, and achieve sustainable development
- Comply with company policies and procedures at all times
Skills
- A Minimum of 3+ years in a transport or a logistics background
- Excellent Time management and Customer Service skills
- Good Planning and organizing skills
- Fleet maintenance and control is a must
- Ability to deal with people is a plus
- Proficiency in English and Arabic would be an added advantage
