Job Summary

Under the General guidance and supervision of the Travel Operations Manager, The Visa Coordinator's Role is to guide and assist clients through all procedures required to obtain tourist visa permits. He/she will carry out a variety of administrative duties to support the client’s Tourist Visa application and will be liaising with the relevant personnel to facilitate and complete matters related to the above-mentioned issues.

Job Responsibilities

Updates and maintains current information records on Tourist visa requirements and regulations for each country.

Advise accurately on the relevant requirements for the various embassies and consulates.

Ensures correct visa type is applied for and accuracy of the information on forms.

Assists clients in the completion of the necessary application forms, ensuring all information has been supplied and submitted on time to the respective visa centers, consulates, or embassies. 

Ensure the correct visa type is applied for and the accuracy of the information on forms.

Assist Clients in getting appointments with embassies.

Submits visa applications and collects the visa when granted.

Answers telephonic and written queries related to visa processing, developing and maintaining detailed records of correspondence.

Creates and Maintains relationships with Embassies and 3rd Party Centers to Coordinate all visa-related issues.

Help clients to find suitable Air Tickets, Accommodation, Travel Insurance, and International Driving licenses.

Meets prospective and extant clients to gauge which visa services they require.

Prepares and provides invoices for the service.

Maintains a supply of application forms for frequently used visas.

Job Knowledge & Skills

• Extensive knowledge of visa application process, procedures of different kinds of visas, and documentation requirements. Broad understanding of visa regulation, rules, and other legal aspects set by the different country immigrations and Embassies.

• ERP knowledge preferably SAP functional skills are a requirement to be successful in this role.
