Responsibilities:

1. Provide administrative support to project teams and managers in the oil and gas and telecom industries.

2. Assist in organizing and scheduling project meetings, workshops, and events, including preparing agendas and meeting minutes.

3. Coordinate project documentation, including contracts, agreements, and project plans, ensuring accuracy and completeness.

4. Facilitate communication between project team members, clients, and external stakeholders, ensuring timely and effective exchange of information.

5. Assist in tracking project expenses, maintaining budget records, and processing invoices and payments as required.

6. Maintain project files, databases, and records, ensuring accessibility and confidentiality of sensitive information.

7. Assist in monitoring project progress, tracking milestones, and identifying potential risks or issues that may impact project timelines or outcomes.

8. Collaborate with internal teams and external vendors to coordinate project deliverables, resources, and logistics.

9. Support project managers in evaluating project performance, analyzing key metrics, and preparing reports for stakeholders.

10. Adhere to company policies, procedures, and quality standards while performing job duties.

Skills

Preferred Industry Experience: Oil & Gas / Telecom

Qualifications:

1. Bachelor's degree in Business Administration, Communications, or a related field. Relevant experience and certifications may be considered in lieu of formal education.

2. Proven experience in a coordinator or administrative support role, with 3-4 years of experience .

3. Strong organizational and multitasking skills, with the ability to manage multiple tasks and priorities effectively.

4. Excellent communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders.

5. Proficiency in MS Office suite and project management software/tools.

6. Attention to detail and accuracy in work, with a commitment to delivering high-quality results.

7. Ability to work independently and collaboratively within a team environment.

8. Familiarity with industry-specific regulations, standards, and operational processes is a plus.

9. Proactive attitude, problem-solving skills, and a willingness to learn and adapt to changing requirements.
