Role description

Arrange, monitor and update Shipping and Customs activities to ensure that all goods are delivered to the final destination in a safe and timely manner in accordance with good practice and Projects / operations/fabrication/ Asset Management requirements.

• Contribute in preparing specific procedures for Shipping, Customs and packing of goods • Contribute in preparing technical enquiry package for Shipping and Customs services • Assist the Shipping and Customs Manager in planning the Shipping and Customs activities of both Project and Assets Material • Once the SF generated from either PO/DO, TR, TO is assigned, review scope and documentation, prepare the Transport Plan and define the best means of transport according to goods weights and dims, best transit route/time, required schedule and actual costs.

• Where the scope of the transport is fully covered by existing Transport Agreements and related price lists, assign the shipment to the freight forwarder who can guarantee the required services in the most efficient manner at the cheapest rate • Where no TA could cover the scope of the transport or in specific circumstances (i.e. oversize/overweight materials, peculiar collection/destination locations, urgency etc.), with the authorization of the Shipping & Customs Manager, prepare through the transport instruction a dedicated PR to issue dedicated transport contract.

• Prepare the documents required to the execution of the Shipping and Customs activities, and required to fulfil import, export and transit formalities in accordance with applicable Customs rules and regulations • Monitor the status of each shipment from goods collection up to actual completion, gather and check all shipping document duly signed and stamped to attest final receipt. Prepare the Service Entry Sheet in accordance with Transport Service Contract Documents • Promptly notify Saipem Insurance department when the value of a shipment exceed the Corporate Insurance deductibles and when a damage occurs during transportation; • Use SAP for the management of Shipping and Customs activities and ensure timely updating • Archive and maintain traceability of Shipping and Customs documents • Support the material purchasing department to define budgets for transports and the best contractual delivery ter • Provide feedback using Saipem available software on Owners, Freight Forwarders, Customs Agents performances

Understand processes and procedures related to:

- staff, business support, business activities

- compliance and governance.

Be able to carry out the operations in compliance with applicable procedures.

Knowledge of the legislation governing customs activities where the operations are carried out (dual use, customs documents/declaration, movement reference number, VAT, customs tariff according to Harmonized Commodity Description and Coding System and ability to archive customs documentation required by law. Knowledge of laws and procedures related to international transport in order to follow the transport and the arrival of the materials requested/sent.

Knowledge of the rules governing the marine and aircraft transport operations for "out of gauge" cargo and dangerous goods (IATA regulations, IMO regulations, Transport Road Permits, Heavy Lift Vessel operation, etc.).

Knowledge of rules and procedures governing the port activities (stevedores, port charges, terminal handling charges, packing inspection, documents related to port activities, such as delivery order, etc.).

Knowledge of supply chain process (engineering, purchasing, production and fabrications, assembling, packing, transportation, clearing through customs, preservation and installation). Ability to focus on Project objectives and Purchase Order requirements in terms of performance, quantities and quality characteristics, time schedule and cost (expediting, quality control during manufacturing stages, shipping and customs activities of purchased goods). Ability to planning, coordinating, executing, monitoring and improving post order process for goods.

Knowledge of Master planning of shipping.

Knowledge of all types of transport methodologies.

Knowledge of material packing and marking for different methods of transport. Knowledge of needed documents of shipping activities.

Capability to coordinate internal or external personnel in managing shipping and customs activities.

Capability to create and update relevant progress report information.

Capability to prepare the documentation necessary for the Tender (Purchase Requisition, Technical Specification, Price List). Capability to perform Technical Bid Evaluation. Capability to find the best technical and economic strategy for the execution of transports. Knowledge of Chartering and Shipping Terms that define the liability and duties of the Freight Forwarders/Shipping Companies with regard to Transport Service Contracts, terms of delivery and the related descriptions of INCOTERMS. Capability to monitor budget of the Transport Agreements/Contracts.
