We are seeking a skilled and detail-oriented Project Document Controller to join our team. We are looking for candidates with a strong background in managing project documentation, ensuring accuracy, and facilitating timely information flow to project stakeholders.

Key Responsibilities:

  • Track, transmit, and accurately file physical/electronic documents and correspondence.
  • Create project documentations to back up all the important project elements.
  • Assign and track project document numbers and revisions.
  • Maintain the security of confidential documents.
  • Design templates for documents, file types, and document databases.
  • Check and edit documents for accuracy and compliance.
  • Control the flow of documents in and out of the department.
  • Assist employees with accessing documents through the document management system (if any).
  • Copy, scan, and store documents.
  • Check for accuracy and edit files, like project contracts.
  • Ensure the secure destruction and disposal of sensitive documents.
  • Check documents, scan and photocopy files, and make sure that documents are stored safely and securely.
  • Perform technical editing, advanced-level word processing, and project document formatting.
  • Write reports, archive documents, and ensure seamless document access across departments.
  • File documents in physical and digital records.
  • Manage the flow of documentation within the organization.
  • Produce document progress reports for senior managers.
  • Maintain confidentiality around sensitive information and terms of agreement.
  • Prepare ad-hoc reports on projects as needed.
  • Ensure documents are shared at key times to facilitate timely project completion.
  • Control company and project documentation.
  • Ensure all documentation meets formal requirements and required standards.
  • Sort, store, and retrieve electronic and hard copy documents on behalf of the project team.
  • Review and update technical documents (e.g., manuals and workflows).
  • Perform other job-related duties as assigned.

Skills

Qualifications & Experience:

  • Bachelor’s Degree in a relevant discipline.
  • Minimum of 8 to 12 years of experience as a Project Document Controller within the IT industry.
  • Strong English language skills (reading, speaking, writing, and listening).
  • Proven work experience as a Document Controller or similar role.
  • Familiarity with project management principles.
  • Knowledge of Electronic Document Management Systems.
  • Strong data organization skills.
  • Top-class typing, editing, and report writing skills.
  • Detail-focused document organizing abilities.
  • Time-oriented approach to handling queries and tasks.
  • An excellent grasp of Microsoft Office programs (MS Word, MS Excel, etc.).
  • Experience in reviewing technical documents and the ability to spot errors.
  • Knowledge of IT-related technology solutions and best practices.
  • Strong interpersonal, organization, and communication skills.
  • Strong analytical, critical thinking, and problem-solving skills.
