Job Summary

This process describes the actions taken by Legal Affairs in handling and managing legal instructions received from Government departments.

Key Accountabilities

  • Receive instructions “orders” from authorities (each, an “Instruction”) regarding actions to be taken in respect of certain customer accounts to the designated group email address in the Legal Department. Generally the instructions will request that a specific amount of funds in certain customer accounts are blocked and that such funds are transferred to the relevant Authorities account.
  • Open an investigation and identify whether there is a customer account.
  • Record the date and time of receipt of each Instruction on the related Instruction.
  • Open CRDB and search by QID number to check customer account as well as using Kapiti to identify any outstanding balance.
  • Scan copy of Investigation into Documentum and flag status as no CB account
  • Receive notification of blocking/transfer of each account from relevant team within one hour. Legal Officer will confirm against the system.
  • Prepare a letter in response to each Instruction confirming the actions that have been taken
  • Reconcile the daily requests received from all parties (QCB, GAMA, etc.) against all actions done during the day.
  • Reconcile the Instructions received with the transfers made and ensure that all transferred amounts match the Instruction.
  • Retain each Instruction and where applicable provide a Response and customer account statement to record the action taken and keep electronic records if no Response required or otherwise, keep in the department for a period of up to two years and thereafter sent to archiving.
